Once a review form is submitted, it becomes essential for the reporting manager to hold a one-on-one discussion with the employee to review the feedback, clarify expectations, and align on next steps.
This meeting can be configured within the review cycle, and the summary of the discussion can be recorded directly in the same cycle.
How the Meeting Summary Task Gets Triggered
After all reviewers have submitted their review forms:
A task is automatically sent to the reporting manager’s Inbox,
Prompting them to enter the 1:1 meeting summary.
How Reporting Managers Can Submit the Meeting Summary
Go to Inbox → Performance Reviews.
Click Write Meeting Summary.
In the meeting summary window:
Enter the Summary of the discussion.
Select the Participants who attended the meeting.
Choose the Meeting Date.
Click Save as Draft if you want to return later, or Submit to finalise it.
How Admins Can Submit the Meeting Summary on Behalf of Managers
If the reporting manager is unavailable:
Admins with access to the review cycle can fill out the meeting summary on their behalf.
Steps for admins:
Go to Performance and click on Reviews.
Select the appropriate Review Cycle and go to Active/Upcoming section.
Now go the review cycle and click on View Progress.
Navigate to the section where the employee appears in the review workflow.
After the meeting stage is initiated, the employee may move from Post-Calibration to Before Nomination, and then to After Nomination.
Locate the employee and click Submit Meeting.
In the meeting summary window:
Enter the same details as managers (Summary, Participants, Date).
Choose Save as Draft or Submit to complete the process.
