Confidential hiring lets you manage sensitive job openings privately in Keka Hire. When a job is marked as confidential, only authorized users can access the job, candidates, hiring pipeline, interviews, and related activity.
You can use confidential hiring for roles such as leadership positions, backfills, or other sensitive openings that should not be visible to everyone involved in hiring.
Before you begin
Make sure you have the required privileges to create or access confidential jobs.

The Hire Admin role has both privileges by default. For other users, you must create a custom Hire role and assign the required privileges.
These privileges only control access to confidential jobs. To create and work with a confidential job, the role must also have Add New Job Opening, View Job Opening, Add Candidate, and View Candidates privileges.
Create a custom Hire role
Create a custom role for users who need to create or access confidential jobs.
- Go to Settings > Roles and Permissions.
- Open the User Roles tab.
- Click the arrow next to + New Role and select + Add Hire custom role.
- Enter a name for the role, such as "Confidential Hiring," along with a short mandatory description.
Assign the required privileges
- In the Create New Role screen, expand Job Privileges.
- Select:
- Create Confidential Jobs
- View Confidential Jobs
- Add New Job Opening
- View Job Opening
- View Candidates
- Expand Candidate Privileges and select Add Candidate.
- Click Save.
Assign users to the role
Assign the custom role to the users who need access to confidential hiring. Be selective when assigning this role. A user with View Confidential Jobs can view all confidential jobs in the account.
If a user only needs access to one confidential job, you can add them as a recruiter or interviewer on that job instead.
Create a confidential job
You can mark a job as confidential only when creating it.
Confidential jobs cannot currently be created through the job requisition flow. Create the job directly from the job opening flow.
- Go to Hire> Jobs> Create a Job.
- On Step 1: Job Description, turn on Mark job as confidential.
- Complete the remaining steps.
- Publish the job.
The Mark job as confidential option is available only to users with the Create Confidential Jobs privilege.
You cannot remove confidentiality after the job is created. A confidential job cannot be converted into a regular job.Who can access a confidential job?
Access depends on the user's privileges and their association with the job.

To give someone access to a specific confidential job without giving them access to all confidential jobs, add them as a recruiter or interviewer on that job.
Where are confidential jobs hidden?
Confidential jobs do not appear in:
- Internal job postings
- Careers site
- External job boards
- Dashboards
- Hiring Insights
- Hire reports
This keeps confidential hiring activity separate from the account's regular hiring views and reports.
Confidential candidates in Preboarding
Candidates from confidential jobs remain confidential when they move to Preboarding.
Only users with the View Confidential Jobs privilege can access these candidates.
Currently, you can perform the following actions for confidential candidates in Preboarding:

Archive Candidate
Offer letter creation and document collection are not currently supported for candidates mapped to confidential jobs.
What happened to the old Confidential job state?
The earlier Confidential job state has been retired.
Previously, jobs that were not published and were not marked as Offline could appear in the Confidential state. These jobs are now shown as Offline.
Offline jobs can be shared using a job link, which supports the sharing functionality previously available with the old Confidential state.

- Can I make an existing job confidential?
No. You can mark a job as confidential only while creating it. - Can I remove confidentiality from a job?
No. Confidentiality cannot be removed after the job is created. - Why don't I see the Mark job as a confidential option?
You need the Create Confidential Jobs privilege to mark a job as confidential. Contact your Hire Admin if you need access. - Can I publish a confidential job on the Careers site?
No. Confidential jobs cannot be published to the Careers site, internal job postings, or external job boards. - Do confidential jobs appear in Hire reports?
No. Confidential jobs are excluded from dashboards, Hiring Insights, and Hire reports. - Can I create a confidential job through a requisition?
No. Confidentiality is not supported for job requisitions in the current release. Create the job directly and mark it as confidential during creation. - Can I give someone access to only one confidential job?
Yes. Add the user as a recruiter or interviewer on that job. They can access that job without getting access to other confidential jobs. - Why are my old confidential jobs showing as offline?
The old confidential job state has been retired. Jobs that were previously in that state have been moved to offline. You can share these offline jobs using a job link.
