Overview
The Multiple Shifts feature allows employees to be assigned up to three non-overlapping shifts within a single day. Attendance, payroll calculations, overtime, and shift-level tracking are managed separately for each shift.
Enable Multiple Shifts for an Employee
- Navigate to the employee's profile.
- Go to Job > Employee Time.
- Open the employee's shift settings.
- Enable Employee can work in multiple shifts.
- Click Update.
Once enabled, all future shift allocations must be managed through the Multiple Shift Board.
Create Job Codes
Job Codes can be used to track work performed under different roles or pay structures.
To create a Job Code:
- Navigate to Time attend > Settings > Job code.
- Click +Add Job Code.
- Enter:
- Name
- Description
- Location (optional)
- Save the Job Code.
Job Codes can later be assigned to shifts and employees.
Assign Multiple Shifts
- Navigate to the Shift Board.
- Select an employee.
- Choose the required date.
- Click Add Shift.
- Enter:
- Shift timing
- Job Code (if applicable)
- Save the shift.
Repeat the process to add additional shifts for the same day.
Important Notes
- Maximum of 3 shifts can be assigned per day.
- Overlapping shifts are not allowed.
- Shift Board Managers may assign any available job code.
Clock In and Clock Out
When multiple shifts are assigned:
- Employees must select the appropriate shift while clocking in.
- A separate clock-in and clock-out is required for every shift.
- Attendance is recorded independently for each shift.
If an employee works without a scheduled shift, they can choose an assigned job code while clocking in.
Request a Shift Change
Employees can request changes to scheduled shifts.
- Open the shift change request page.
- Select an existing shift.
- Add the proposed shift timing.
- Select the required job code.
- Submit the request.
The shift is updated only after approval.
Overtime Calculation
Administrators can configure overtime policies to calculate overtime:
- Separately for each shift, or
- Cumulatively across all shifts for the day.
Penalisation Policies
Penalisation rules can be configured to apply:
- Only to the first shift
- To specific shifts
- Across all shifts in a day
This enables accurate handling of late arrivals, early departures, and grace period calculations.
Reports and Dashboards
Dashboards
- Display aggregated daily attendance information.
- Provide drill-down access to individual shift details.
Reports
- Include shift-level attendance data.
- Include consolidated daily attendance summaries.
Limitations
- Clock-in and clock-out are mandatory for each shift.
- Missing punches must be corrected using Attendance Adjustment Requests (Add Logs).
- A maximum of three shifts can be assigned per day.
- Overlapping shifts are not supported.
