You can now create a backfill requisition directly from the exit approval process in Keka. This saves time and reduces steps for exit approvers by allowing them to initiate a replacement request as part of the exit workflow.
This feature is available to all Keka Hire customers and applies to employees marked as resigned or terminated.
To use this, exit approvers must have the required permissions, especially to view salary details if that data is needed in the requisition.
Navigation
Go to the exit approval task assigned to you.
While approving the exit, you'll see an option to raise a backfill request.
Check the box to initiate a backfill requisition.
The system will automatically pre-fill:
Employee details
Salary details (if you have permission to view them)
Based on system configuration:
If auto-submission is enabled and all required details are present, the requisition will be automatically submitted.
If auto-submission is disabled or some details are missing, you'll need to review and complete the form before submitting.
If a backfill request has already been raised for this employee, the system will prevent duplicate submission.
Options & Variants
With permissions: Users who can view salary information will see those fields pre-filled in the requisition.
Configuration-based flow:
If auto-submit is enabled and mandatory fields are filled, the backfill request is instantly submitted.
If not, the approver must manually complete and submit it.
Notes & Tips
Tip: Admins can initiate a backfill requisition from either:
The employee profile of someone under exit, or
The exit process screen.
Important: If the required configuration is turned off or mandatory data is incomplete, the system will ask the approver to manually fill in the missing details before submission.
