Internal notes are private messages shared by managers or HR that are not visible to employees. These notes can help document observations, appreciations, or areas for improvement—serving as a reference for performance discussions, promotions, or reviews.
Who Can Do This
Only users with manager or admin privileges can create internal notes for employees.
Steps to add an internal note for an employee
Go to the left menu and click on Performance.
From the top navigation bar, click on Feedback and then select the Summary tab.
On the right side under Quick actions, click on Write Internal Note.
4. In the pop-up window, select the employee (e.g., Olivia Parker) for whom the note is intended.
5. Type your feedback or observation in the note editor. You can format the text using bold, underline, or bullet points as needed.
Example: Just wanted to drop a quick note to say I’ve noticed the consistency and ownership you’ve been showing over the past few weeks—especially with the Q2 reporting task. Your attention to detail and follow-through is making a real impact, and it hasn’t gone unnoticed.
Note: Be specific about the behaviour or outcome you're acknowledging to make the note more meaningful.
6. Once done, click the Submit button to save the internal note. It will be visible only to managers and admins.
Pre-requisites
You must have access to the Performance module.
The employee must exist and be active in the system.
How Admin Can View Internal Notes
Managers can easily access internal notes left for an employee by following these steps:
Go to the employee's profile by either navigating to Employee under the Org section or using the Search option in the left navigation menu.
In the employee profile, click on the Performance tab at the top.
Under the performance section, click on the Feedback tab.
Inside the Feedback tab, click on Internal Notes to view all notes added for this employee.
5. Each note displays:
The name of the manager who added it
The content of the note
The date it was submitted
Optional comments (if enabled)
These notes are visible only to other managers or admins. Employees cannot see internal notes.

1:1 Meetings – to recall progress or concerns.
PIP (Performance Improvement Plans) – as context for documentation.
Internal notes are a valuable tool for managers to document meaningful feedback, observations, and performance insights—without notifying the employee.
