Visibility settings allow administrators to control who can view review forms and submissions during and after the performance review process. This ensures the right people—like employees, managers, and other stakeholders—have access to the reviews they need, promoting transparency and accountability.
Now, let’s walk through how to update the visibility of a review form in Keka.
Visibility Settings Overview
Navigate to the Performance tab in Keka.
Click on the Reviews tab.
Select the relevant Review Cycle you want to modify.

Click View Progress for the selected review cycle.
In the Advanced Setup section, click on Visibility.

Administrators can choose between two primary options:
Only Managers: Restricts review visibility to specific managers.
Custom Visibility: Allows detailed configuration for each role.
When setting up custom visibility, be aware of the following:

If the "Self" option for visibility after filling is enabled without configuring the specific views for what employees can access after the review is published, the toggle will be automatically disabled.
Self (Employee)

While Filling: Employees can view their Reporting Manager's review.

To enable: Toggle the Self option ON, and assign Reporting Manager to the field "Can View Reviews of".

After Filling: Employees can access their own review once the cycle is completed.

To enable: Toggle the Self option ON, and assign Reporting Manager to the field "Can View Reviews of".

Reporting Manager

While Filling: Reporting Managers can view the reviews submitted by their team members.

To enable: Toggle the Reporting Manager option ON, and assign Self under "Can View Reviews of".

After Filling: Reporting Managers can view the final reviews of their team members.

To enable: Toggle the Reporting Manager option ON, and assign Self under "Can View Reviews of".

Manager of Manager

After Filling: They can view the completed reviews of the teams under their reporting manager.

To enable: Toggle the Manager of Manager option ON, and assign Self and Reporting Manager under "Can View Reviews of".

Department Head

After Filling: Department Heads can view all reviews relevant to their department.

To enable: Toggle the Department Head option ON, and assign Self and Reporting Manager under "Can View Reviews of".

Business Unit Head

Similar to the Department Head but with visibility across a broader organisational level.

To enable: Toggle the Business Unit Head option ON, and assign the relevant roles under "Can View Reviews of" for broader access.

Dotted Line Manager

After Filling: Dotted Line Managers can view the reviews of individuals reporting to them indirectly.

To enable: Toggle the Dotted Line Manager option ON, and assign Self and Reporting Manager under "Can View Reviews of".

Optional Configurations
Anonymous Sharing: Enable this to hide the identity of the reviewers for specific roles.
Role-Specific Access: You can dynamically add or remove roles based on the organisational hierarchy.
Saving Your Configuration
After making all necessary changes to your visibility settings:
Click Save as Draft to save your progress without publishing.
Once you're ready, click Complete Setup to finalise and apply the review cycle configuration.
