How to allocate performance bands to employees in a review cycle?
During performance appraisals, employees are typically categorised into performance bands to measure their progress. For example, Band A might represent outstanding performance, Band B could indicate good performance, Band C might denote employees who exceed expectations, and Band D and Band E could correspond to below expectations and poor performance, respectively. The specific definitions for each band may vary depending on the organisation.
Let’s walk through the steps HR Managers and admins can follow to assign performance bands.
Steps to allocate performance bands
Go to the Performance module and select the Reviews section. This will take you to the Review Cycles.
Choose the desired review cycle from the list.
Select the appropriate Review group and click View Progress.
During the Post Review process, navigate to the Review Analysis section.
Click on View Bands to see the performance bands and rating ranges that are assigned based on your organisation’s criteria.
Next, go to the Calibration section, where you can filter employees by department, business unit, or manager.
Click on the Manage option. If some of the employee reviews from that group are calibrated, the Manage option appears; otherwise, you see the Calibrate option.
You can select multiple employees at once by checking the boxes next to their names.
After selecting the employees, open the Band dropdown and choose the appropriate performance band based on your evaluation criteria. Click Save as Draft to apply the selections.
Next, review the assigned bands to ensure they accurately reflect each employee's performance. Once you're confident with the allocations, navigate to the Calibrators tab to invite the appropriate calibrators. They will receive a notification in their inbox to begin the calibration process.
Alternatively, if you're an HR Manager or Admin and wish to calibrate the ratings yourself, you can click the Calibrate option to directly assign a final rating to the employee.
After adding ratings, provide a reason and click Save.
After selecting the performance band for each employee, carefully review the allocations to ensure they align with your intended performance assessments. Click Finalise Calibration to confirm the performance band assignments.
Allocating performance bands thoughtfully ensures a fair, transparent, and structured evaluation process. By aligning band assignments with clearly defined criteria and incorporating calibration inputs, organisations can effectively recognise top performers, identify areas for development, and make informed decisions about rewards, promotions, and growth opportunities.
