Overview
Keka’s enhanced Review Cycle Setup brings a cleaner interface, smarter automation, and flexible configuration options to help HR teams run performance reviews with ease. The new experience reduces manual work, keeps cycles organised, and ensures employees are mapped accurately.
Note: This New Review Cycle Setup is currently an alpha feature and may not be available to all customers. Access will be rolled out in phases.
Here’s a complete walkthrough of how the new setup works:
Navigating to Review Cycles Page
To get started, go to the Performance module from the left navigation menu and click on the Reviews tab at the top.
Inside Reviews, select Review Cycles.
Here, you’ll see all active, upcoming, and past review cycles neatly organised by year.
Creating a Review Cycle
Click the + Create Cycle button to begin setting up a new review cycle.
You will be prompted to:
Enter a cycle name (e.g., Review Cycle, Annual Cycle, Managers Review).
Select the year and month in which the cycle will run.
You can choose from:
Previous year
Current year
Next year
This makes it easy to set up cycles in advance or align them with organisation timelines.
Selecting Review Month & Scheduling
Choose the month from the dropdown in which the review should start (e.g., January, March, April).
The interface allows quick navigation and preview of month options.
Adding Employees to the Cycle
Condition-Based Selection (Automatic)
Select Based on dynamic condition to automatically include employees who fit specific criteria—such as:
Department
Sub-department
Location
Business unit
Example: Include all Executive Management OR Product department employees located in Hyderabad.
Once conditions are set:
The system automatically calculates how many employees match the criteria.
These employees cannot be removed individually (as they are dynamically included).
You may also exclude employees by join date or other filters. Exclude specific groups (e.g., interns, new hires).
Manual Selection
Select Manual selection to pick employees individually.
Click Select employees to open the employee list.
You can then:
Select employees using checkboxes
Filter by Department, Location, Join Date, Job Title, etc.
- Once selected, you can also remove employees if needed. Select the employees and click on Remove employees.
Confirm the action by clicking on Remove option.
Assigning Review Cycle Owners & Reminders
You can optionally assign cycle owners who will oversee and manage this review cycle.
There is also an option to:
Enable reminders for creating the next review cycle
Select the month for receiving this reminder
Click Save once all details are configured.
Viewing and Continuing Setup
The newly created review cycle will now appear under the selected year.
Cycles that require additional configuration will show Setup pending, and you can click Continue setup anytime.
