Overview
The enhanced Review Cycle Setup in Keka gives organisations a flexible and structured way to define who participates in performance reviews.
Note: This New Review Cycle Setup is currently an alpha feature and may not be available to all customers. Access will be rolled out in phases.
This article walks through selecting and managing reviewers step-by-step.
Once a review cycle is created, you can continue configuring it by navigating to Performance → Reviews, selecting your cycle, and clicking Continue setup.
Choosing Reviewers
The first step in the setup is choosing who will participate in the review process.
You’ll see the Self/Managers section with default options such as:
Self – Employees review their own performance.
Reporting Manager – The direct supervisor evaluates the employee.
To modify these roles, click Manage reviewers.
Managing Reviewer Roles
Inside the Manage reviewers panel, you can add or remove reviewer types based on your organisation’s feedback model.
Available reviewer categories:
Self / Managers
Self
Reporting Manager
Manager of Manager
Department Head
Business Unit Head
Dotted Line Manager
Other Reviewers
Peers
External
Subordinates
Project Manager
Project Admin
Client Manager
Team Members
2. You can enable or disable any of these by selecting the checkbox beside each role.
Custom reviewer roles can also be added using + Add reviewer.
3. Click Save once your selections are complete.
4. After saving, your selected reviewer roles appear on the main reviewers page. Click Next to proceed to the next configuration step.
Setting Nomination Rules (If Enabled)
Depending on the organisation’s workflow, admins can allow certain roles to nominate additional reviewers.
For example:
Performance Admin nominates reviewers
Reporting Manager nominates reviewers
Employee nominates reviewers
You can also define:
Minimum number of nominees
Maximum number of nominees
This ensures the review process remains streamlined and avoids unnecessary reviewer overload.
Note: Setting minimum and maximum nominees keeps the review process focused and manageable. For example, limiting nominees to two ensures relevant feedback without overload.
Approval for Nominated Reviewers
If your organisation requires it, you can enable an approval step for nominated reviewers.
For example:
When an employee nominates a peer, the Reporting Manager or other manager may need to approve.
This ensures the review process stays aligned with organisational policies.
Making Adjustments Anytime
Even after setup, administrators can revisit the Manage reviewers section to add, remove, or modify reviewer roles.
This flexibility helps organisations adapt their review cycles as:
teams expand
reporting structures change
feedback models evolve
The enhanced reviewer configuration in Keka enables organisations to build a performance review process that’s structured, flexible, and suited to their unique needs. By choosing the right set of reviewers—self, managers, peers, or custom roles—companies can run meaningful evaluations that support employee growth and organisational development.
