Overview
The Review Cycles feature in Keka offers a streamlined way to manage your organisation's performance evaluations. By organising review cycles by month and status, HR teams can easily track and manage the progress of each cycle. This system ensures that all steps of the review process are efficiently executed, from initial setup to post-review actions, while also providing essential reminders and actionable insights.
Note: This New Review Cycle Setup is currently an alpha feature and may not be available to all customers. Access will be rolled out in phases.
In this article, we’ll explore the key features that make the review cycle management process more transparent, efficient, and organised.
Organising Review Cycles by Month and Status
- Review cycles are grouped by months (e.g., January, April, July, October) for easy tracking. Each cycle shows its current status:
- Setup Pending – Needs further configuration.
- Ready for Launch – Fully set up and ready to start.
- Launched – Active and in progress.
Closed – Completed review cycle
Actionable Insights
For every review cycle, the following actions can be performed based on its status:
Continue Setup: For cycles that are pending, users can resume the setup process.
Verify & Launch: For cycles ready to begin, this action initiates the review process.
View Progress: For ongoing cycles, users can track progress in real-time.
View: For completed or closed cycles, users can review past evaluations and reports.
Each cycle also displays essential details, including the number of employees involved (e.g., “238 employees”) and the number of cycle owners (e.g., “+4 owners”).
Automated Reminders for Upcoming Cycles
To ensure timely preparation, the system includes a Reminder for the Upcoming Cycles tab. This feature provides proactive notifications starting three months prior to the scheduled dates. For instance, if a cycle is planned for May, reminders begin in February.
- The first review cycle of the year (e.g., January) is labeled as "Upcoming" until its deadline passes.
Cycles with deadlines that have already elapsed are marked as "Overdue."
Quick Review Cycle Creation
Users can create new review cycles directly from the reminders tab:
Click "Verify & Create" to start a new cycle with pre-filled details from the previous one.
This opens a new window with details from the previous cycle, saving time. Users can adjust settings like conditional employee mapping or manual selection before updating the new cycle.
Canceling or Discarding a Cycle
To cancel a cycle, click the cross symbol next to it to confirm.
And select Discard to remove it from the schedule.
