Custom Report Builder – TnA
Overview
Keka now supports a Custom Report Builder (CRB) for the Time & Attendance (TnA) module, enabling admins to build flexible, self-service reports by selecting, combining, and configuring attendance and leave data from a single interface. This eliminates the need to download multiple predefined reports and manually merge them — reducing duplication, errors, and support dependency.
CRB is already live for Core HR, Payroll, and Hire. Time & Attendance now adopts the same platform framework, ensuring a consistent reporting experience across all modules.
CRB access is controlled via two privileges under Roles & Permissions.
View Custom Reports allows users to view and download custom reports. Manage Custom Reports allows users to create, edit, and delete custom reports.
Only admins with the appropriate privilege can create or modify custom reports.

How It Works
1. Select a Report Type
Navigate to Time Attend on the left pane and navigate to the reports section on top now select Custom Reports in the module and choose a report type from the available categories.
Attendance Compliance / Exception Reports cover attendance negligence data such as Late Comers, Early Leavers, Missing Swipes, Work Hours Shortage, No Shows, and Penalized Leaves.
Attendance Request Reports cover all types of employee attendance requests including Clock-In/Out Requests (Remote, Web, WFH/OD), Clock-In Locations, OT Requests, Partial Day Requests, and Shift/Weekly Off Requests.
Attendance Reports cover day-level attendance data including Shift Hours and Working Hours.
Leave Reports cover leave-related data including Encashment Request Details and Leave & Comp-Off Request Details.
Attendance Summary Reports provide a high-level summary view covering Working Days Summary, Working Hours Summary, and OT Summary.
2. Pick Your Columns
Within each report type, drag and drop the specific fields you need into your report layout. You can choose only the columns relevant to your use case.
For example, within Attendance Compliance / Exception Reports, the following datasets are available:
Attributes include quantitative measures such as Late By (mins), Early By (mins), and Short Hours. Attendance Status provides binary Yes/No indicators for each negligence condition. Working Hours includes Gross Hours, Effective Hours, and Break Duration. Shift Details covers assigned shift information and shift timings.
3. Apply Filters & Grouping
Apply filters to narrow data by employee attributes, date range, department, location, and more. Use grouping to organize results — for example, by department, shift, or location. Use aggregation functions to summarize values such as totals or averages.
4. Preview & Save
Preview your report before finalizing. Save the configured report as a reusable view under any category. Export the report in supported formats. Schedule automated report generation on a recurring basis.
Edge Cases
- Only supported datasets and report types are available for column selection; unsupported fields will not appear.
- Scheduled reports reflect the data available at the time of generation.
- Filters and groupings are primarily employee-level in the current release.
- Saved views are tied to the admin who created them unless shared via permissions.
