In multi-country organisations, employees may previously have seen document types irrelevant to their geography (e.g., India-specific statutory forms visible to non-India employees). This update introduces country-based visibility control for Document Types, ensuring employees see only documents applicable to their work location.
Admins can now configure document access based on an employee’s mapped country (Work Location), reducing confusion and improving compliance alignment.
Who Can Configure This
Users with Manage document definitions permission.
Where to Configure
Org → Documents → Employee Documents → Settings → Document Type → Edit Document Type
In the Manage Document Type pop-up (above the Form Fields section), a new configuration is available:
- Allow access to employees based on country (work location)
- Country selection dropdown (multi-select)
When This Setting Appears
- Visible only if the organisation has two or more countries mapped under Work Locations.
- Hidden if the organisation operates in a single country.
- The dropdown lists all configured Work Location countries.
- Countries appear even if no employees are currently mapped.
Default Configuration (Mandatory Field)
This is a required setting.
For all existing and new document types:
- Default: “Give access to employees of all countries” (Enabled)
There is no impact on release. All existing document types continue to remain accessible to all countries unless modified by an admin.
