Introduction

Keka’s rule-based policy assignment now works not just during onboarding but also when employees move internally. If an employee’s department, location, or designation changes Keka automatically checks whether their assigned policies still match the configured rules.

Instead of requiring manual updates after transfers, promotions, or relocations, the system detects mismatches and prompts you to reassign the correct policies—helping you save time, reduce errors, and maintain compliance.

How it Works

1. System detects changes

When you update an employee’s department, location, or designation, Keka checks if their assigned policies match the rule-based setup.

2. Notification prompt

If there’s a mismatch, a message appears on screen:

“The assigned policies don’t match the configured rules. Would you like to assign policies based on defined rules?”

3. Review and reassign policies

Clicking the prompt opens a side panel showing:

Previously assigned policies

New applicable policies based on updated parameters

Checkboxes to select or deselect specific policies

A field to choose the effective date

After reviewing, click Assign Policies to update everything at once.

Use Cases

Here are common scenarios where automatic reassignment is helpful:

Department transfer: Moving from Marketing → Sales triggers updated shift and attendance policies.

Relocation: Moving from Hyderabad → Bangalore applies a new holiday calendar and local rules.

Promotion: Intern → Manager assigns new policies based on role and level.

Supported Policies

This feature currently supports automatic reassignment for:

Attendance policies, Shift policies, Holiday calendars, Work-from-home (WFH) policies

Flexibility

Admins remain in control. You can override the suggested policies anytime and keep existing ones if needed.
