In most performance reviews, objective progress is a key indicator of how well an employee has performed. To streamline this process, Keka allows you to automatically populate performance ratings in the review form based on goal completion data.
This reduces manual effort for reviewers and promotes consistency across evaluations.
Steps to enable auto population of ratings
Navigate to the Performance module.
Click the Reviews section.
Under the Review Cycles tab, locate and select the cycle where you want to enable this setting.
If the cycle has been partially configured, click Continue Setup.
In the settings window, go to the Review Form tab.
Under the Review Form section, find the Goals Settings for All Reviewers section.
Set the timeframe for the goals configured to enable auto populate option.
Look for the auto-populate ratings on goals based on progress toggle and enable it.
Note: The auto populate will only work if you select rating scale in your response type for at least one reviewer in your review form.
Once auto-population is enabled, you’ll be prompted to define how progress percentages map to each rating level.
This is based on your selected rating scale for Self and Reporting Manager, which assigns ratings based on the percentage of goal progress.
Example:
0–14.29% progress = Rating 1 (Lowest)
14.29–28.57% progress = Rating 2
28.57–42.86% progress = Rating 3
42.86–57.14% progress = Rating 4
57.14–71.43% progress = Rating 5
71.43–85.71% progress = Rating 6
85.71–100% progress = Rating 7 (Highest)
This setup automatically assigns a rating based on an employee’s goal progress, with the option for reviewers to override the rating if needed.
Adjust these ranges as needed and click on Save.
If the required rating scale has not been added, click on Manage Scale under the Review Form section.
Add your preferred rating scale and click Save.
To create a new scale, click on + Add New Scale.
You can customise the rating scale according to your preferences, including adding a decimal rating scale if needed. Once done, click Save to apply the scale to your review form.
You can also control whether reviewers can override auto-filled ratings:
Check or uncheck reviewers who should be allowed to edit the auto-assigned rating.
Reviewers not granted permission will see a locked rating value based on objective progress.
Options & Variants
Flexible rating scales: This feature supports standard 3, 5, or 10-point systems and any customised scale.
Reviewer control: Choose whether to allow manual edits on a per-reviewer basis.
Notes & Tips
Note: This setting only works if the Goals section is enabled in the review form in that cycle.
Make sure objectives have progress updates recorded in the system before the review begins.
