Overview
Keka’s integration with AI-driven transcription for 1:1 meetings in MS Teams simplifies the process of capturing meeting details, generating summaries, and managing action items. This feature helps you seamlessly document your meetings, ensuring no key points or tasks are missed. Here’s how to enable and use the AI summary and action items in your 1:1 meetings.
Note: This AI 1:1 Meetings Transcription for MS Teams is currently an alpha feature and may not be available to all customers. Access will be rolled out in phases.
Steps to enabling AI summary and action items for 1:1 meetings
Scheduling a 1:1 Meeting

Start by navigating to the Performance section and then go to 1:1 Meetings. Here, click on Schedule 1:1 Meeting.
Fill in the Meeting Details:
Select Participants: Choose the employee or participants for the meeting.
Choose the Meeting Type: For AI transcription and action items, ensure you select Microsoft Teams as your meeting platform. This integration is essential for enabling the AI functionality.

Enable AI Summary & Action Items: There will be a checkbox for enabling the AI summary and action items. Ensure this option is checked. By doing so, Keka will automatically generate an AI-based summary and actionable tasks once the meeting ends.

Set the Date and Time: Choose the appropriate date and time for the meeting, and decide if it will repeat (select Does Not Repeat or any recurring options you wish).
3. Once you've filled in the details, click on Schedule Meeting.
Accessing the Meeting in the “My Meetings” Section
Once the meeting is scheduled, go to the My Meetings section under 1:1 Meetings. This will list all the upcoming and pending 1:1 meetings.
Select the meeting you just scheduled.

In the meeting details view, navigate to the Transcription tab.
Viewing the AI Transcription and Generating the Summary
After the meeting has concluded, the AI transcription will automatically appear in the Transcription tab (provided the meeting was recorded).
Here, you will find the full transcription of the meeting, capturing everything discussed. Next, you will see the option Generate AI Summary & Action Items.

Click on this option to generate a concise summary of the meeting, as well as the action items.

This will automatically be populated based on the transcription.
Adding Custom Action Items or Summaries
You can also manually add action items and summaries by clicking on:
+ Add Action Item: To add any tasks or commitments discussed during the meeting that were not automatically captured.

+ Add Summary: To include additional notes or context that you think is important.
This allows you to further personalise the meeting record and ensure everything discussed is properly documented.
Notes & Tips
Meeting Recording: The AI transcription and summary generation will only be available if the meeting was recorded. This is essential for the transcription to work correctly.
Meeting Completion: The meeting must be completed (not pending) for the system to process the transcript and generate the summary.
