Introduction
You can now add external agencies or vendors as External Recruiters (Only Sourcing) in your hiring process. These recruiters help you build your candidate pipeline by sourcing profiles but don’t participate in the full hiring workflow.
This role is ideal for staffing agencies who only provide screened candidate lists and are not involved in managing interviews or moving candidates through stages.
What you’ll achieve
Add sourcing-only recruiters with limited permissions
Track candidates sourced by different agencies
Separate sourcing from full recruiting responsibilities
Add and Manage External Recruiters
Go to Hire> Settings> User Management> Paid Users.
- Scroll down and select the "Add Recruiter" option.
Choose the recruiter type:
Internal Recruiter
External Recruiter
If you select External Recruiter, you'll see a new option:
External Recruiter (Only Sourcing)
Set permissions for this recruiter:
They will be limited to sourcing activities only.
Assign them to relevant jobs where they can source candidates.
Once added, they’ll follow the same login process as any external recruiter.
Options & Variants
You can change an external recruiter (only sourcing) to an internal recruiter at any time.
You cannot convert an internal recruiter to any type of external recruiter.
Candidates added by sourcing-only recruiters are treated as inbound candidates.
Ownership remains with an internal recruiter or full-permission external recruiter.
Sourcing-only recruiters will be excluded from ownership assignment under Job > Hiring Team.
Notes & Warnings
Note: When a sourcing-only recruiter adds a candidate, the “Sourced by” field will show their name.
Important: These recruiters can only see and manage the candidates they’ve personally added. They won’t have visibility into other applicants or overall job activity.
Warning: Do not assign sourcing-only recruiters as job owners. This role is excluded from ownership assignment.
Reports
You’ll get two reports to track performance and activity of these sourcing partners:
External Recruiter Candidate Information Report – See candidates added by each agency.
External Recruiter Job Hiring Status Report – Monitor job-wise sourcing impact from each recruiter.
