Keka is updating the “Manage Letter Templates” privilege: it will no longer be entirely global. With the new scoping by legal entity, some users who were previously restricted will now gain ability to create/edit letter templates if their role includes the privilege and they are scoped appropriately. This article explains what’s changing, who’s impacted, and what actions you should take.
Understanding access behavior by user type
Access to document templates now depends on the legal entity (LE) scope defined for both the template and the user.
There are three user types based on how their role is scoped:
1. Privileged Users with access across all employees
| Action | Access |
|---|---|
| View any template | ✅ Yes |
| Create new template for any LE | ✅ Yes |
| Edit any template | ✅ Yes |
| Change LE access of any template | ✅ Yes |
These users are not restricted by any scope. They have full access to all templates and legal entities.
2. Privileged Users scoped to specific legal entities
| Action | Access |
|---|---|
| View template | ✅ Only if the template has at least one LE that matches user’s LE scope |
| Create new template | ✅ Yes, but only for the LEs they are scoped to |
| Edit existing template | ✅ Only if the template is accessible |
| Change LE access of a template | ✅ Only if all template LEs are within user’s scope |
These users work within their assigned LEs. They can’t access or modify templates outside that scope.
3. Privileged Users scoped to other attributes (e.g., location, department)
| Action | Access |
|---|---|
| View template | ✅ Only if template is set to All legal entities |
| Create new template | ✅ Yes, but cannot change LE access (default: All LEs) |
| Edit existing template | ✅ Only if template is accessible |
| Change LE access of a template | ❌ Not allowed (tooltip explains why) |
These users can’t control LE access. They rely on templates being available to All legal entities.
