Understanding Payroll Inputs in Off-Cycle Payroll

Off-Cycle Payroll in Keka gives you the flexibility to process payments like bonuses, reimbursements, and final settlements outside of your regular payroll cycle. But based on the type of off-cycle payroll selected, the payroll input sections displayed will vary—and not all inputs can be modified within the off-cycle process.

• Which payroll inputs are visible for each off-cycle type
• What can be edited and what remains read-only
   

How Payroll Inputs Change Based on Off-Cycle Type

When setting up an off-cycle payroll, the input sections you see will dynamically change based on the options selected. Here's a breakdown of how it works:

If You Select Pending Salaries:

The following sections will appear, and you can update the data just like in a regular payroll run:

• LOP & LOP Reversals
• Salary Revisions
• Overtime & Shift Allowance
• Reimbursements (read-only)
• Overrides
  
  

If You Select Pending Bonuses:

You'll see the Bonus section. This includes:

• List of eligible bonuses for employees
• Option to update existing bonuses (e.g., amount, payout date)
  

If You Select Pending Expenses:

The Expenses section will be shown in read-only mode:

• No modifications can be made here
• All expense edits must be made before the off cycle is initiated
   

If You Select Full & Final Settlements:

The F&F Settlement section will mirror the view in pre-payroll:

• Shows pending settlements
• View-only mode (edits must be made externally)
   

If You Select Pending Leave Payments:

The Leave Advances & Encashments section will be visible with:

• Two Tabs:
  1. Leave Advances – Read-only
  2. Leave Encashments – Editable (Year-End only)

The Year-End Encashment section allows changes similar to pre-payroll
The Year-Round Encashment section is strictly view-only

If You Select Others:

This option includes the following sections:

• Ad hoc Transactions
  • Editable
  • Option to add/import payments & deductions
  • No import from previous month
• Air Tickets
  • View-only
  • Includes fields like:
    • Request Type (Reimbursement/Encashment)
    • Amount
    • Action Taken By
    • Payment Mode

What Happens If You Select Multiple Options?

• Keka will display a combined set of all applicable payroll input sections
• Only the employees with pending payables under the selected types will be visible for selection
