o comply with employee benefit schemes like PF, ESI, and LWF, employers must collect and update statutory details for each employee. These include PF/ESI numbers, registration dates, and location-specific data. In Keka, you can update this information individually or in bulk.
To update statutory info for a single employee:
Search for the employee using the search bar → Open their Profile.
Go to Finances → Summary.
Scroll to Statutory Information → Click the Edit icon.
Update PF, ESI, PT, or LWF details as required.
Click Update to save changes.
Alternate method:
Go to Payroll → Payroll Admin → Operations.
Scroll to Payroll Status, Tax Regime & Financial Details → Click Employees’ Statutory Info.
Select the Pay Group (if applicable).
Find the employee and click Edit to update statutory details.
Click Update once done.
To update statutory info in bulk:
Go to Payroll → Payroll Admin → Operations.
Under Payroll Status, Tax Regime & Financial Details, click Employees' Statutory Info.
Click Import in Bulk.
Download the Excel template → Fill in or modify employee statutory details.
Upload the completed file back to the portal.
To update statutory and financial info together in bulk:
Go to Payroll → Payroll Admin → Operations.
Scroll to Payroll Imports → Click Import Financial Information.
Download the Excel template → Enter both financial and statutory data.
Save and upload the file to update records.
