Loss of Pay (LOP) refers to the number of days an employee won't be paid during payroll processing. It typically occurs when an employee takes unpaid leave or incurs penalties due to attendance violations. The net pay for employees is prorated based on the working days, which is the total payable days in a month minus the LOP days.
If an employee joins or exits mid-month, the total payable days are reduced accordingly, and those days are not considered LOP.
Employers can also adjust LOP days and override them to a manual value in Keka when running payroll for a particular month or pay group.
Updating LOP Days for an Individual Employee
To adjust LOP days for a single employee, follow these steps:
Go to Payroll ➔ Run payroll.
If you have multiple pay groups configured, select the relevant pay group from the dropdown.
Click on Leave, Attendance & Daily Wages.
Click Save and Continue until you reach the LOP Summary tab.
In the LOP Summary tab, add the desired value in the LOP Adjustment column to adjust the LOP days for the employee, and use the Add Employees button to add more employees.
Click Save and Continue to save your changes.
Adjusting LOP Days in Bulk
To adjust LOP days for multiple employees at once, follow these steps:
Go to Payroll ➔ Run payroll.
If you have multiple pay groups, select the relevant one from the dropdown and click Leave, Attendance & Daily Wages.
In the Leave, Attendance & Daily Wages tab, go to the LOP Summary section.
Click on the Import LOP Days tab.
Click Download the Excel Template to get the template.
Fill in the required details in the template, save the file, and then click Upload the Excel File in the Import LOP Days window.
If you are using your own Excel sheet (not the Keka template), match the columns to the Keka field names and click Continue.
Preview your data and click Complete, then click Confirm.
Click Save & Continue in the Leave, Attendance & Daily Wages window and then click Save & Close in the LOP Reversal section.
Important Notes:
Any adjustments made to LOP during payroll processing will not appear in the employee’s leave history or consumed leave data/reports.
