Release Note: Confidential Hiring (Phase 1)
What's New?
You can now mark candidates as Confidential (Private Hiring) to prevent their information from being exposed through hiring, offer, and onboarding workflows.
This release focuses on protecting confidential candidates by blocking any automation that could reveal their details to users outside the approved access circle.
Why is this needed?
For confidential roles, customers often need to keep candidate information visible only to a limited group of users. Previously, downstream processes such as offer release, onboarding tasks, notifications, and employee onboarding could expose candidate information to unintended users.
With this enhancement, confidential candidates remain visible only to authorised users.
What is included in Phase 1?
Access control for confidential candidates
Only the following users can access confidential candidates:
- Job Creator
- Hire Admins
- Hiring Managers assigned to the job
- Interviewers assigned to the job
- Super Recruiters with the Private Candidate Permission
All other users cannot view confidential candidate information.
Blocked actions for confidential candidates
The following actions are not available:
- Create Offer
- Release Offer
- Offer-related actions
- Initiate Onboarding
- Assign Tasks
- Modify Tasks
- Background Verification (BGV) workflows
- New Joiner workflows
- Automated onboarding and preboarding processes
Suppressed automation
For confidential candidates, the system will not:
- Create onboarding tasks
- Create preboarding tasks
- Send onboarding notifications
- Send hire notifications
- Send employee-added notifications
- Push candidate data into downstream onboarding workflows
Visibility restrictions
Confidential candidates:
- Do not appear in reports for unauthorised users
- Do not appear in analytics for unauthorised users
- Are excluded from general candidate searches for unauthorised users
- Are excluded from API responses for unauthorised users

A clear Confidential Candidate indicator is displayed on:
- Candidate Profile
- Preboarding pages
- Candidate listings
- Board View

For confidential candidates:
Hidden sections:
- Offers
- Tasks
- Offer-related actions
Available action:
- Archive Candidate
Preboarding
Unavailable actions:
- Create Offer
- Release Offer
- Change Tasks
Allowed actions:
- Cancel Preboarding
- Archive Candidate
Add Employee
The Initiate Onboarding option is disabled for confidential candidates.
Bulk Actions
When one or more confidential candidates are selected:
Available bulk actions:
- Add Employee
- Archive
A message informs users that other bulk actions are hidden because confidential candidates are included in the selection.
Important Note
Phase 1 is a containment-focused release. Wherever confidentiality cannot be guaranteed, the workflow is blocked. Customers should continue using their existing offline process for offer management and onboarding of confidential hires.

Manage Confidential Candidates in Hiring
Overview
Confidential Hiring helps organisations protect candidate information for sensitive hiring requirements.
When a candidate is marked as Confidential, their information is restricted to authorised users only. To prevent accidental exposure, offer workflows, onboarding workflows, notifications, and related automations are blocked.
Who can access confidential candidates?
Can access
- Job Creator
- Hire Admin
- Hiring Manager assigned to the job
- Interviewers assigned to the job
- Super Recruiters with the Private Candidate Permission
Cannot access
- HR Operations users
- Finance users
- IT teams
- Buddy assignees
- Default task assignees
- Reporting consumers
- Any user outside the authorised access circle
Mark a candidate as confidential
Permission requirement
Only the Job Creator can:
- Mark a candidate as Confidential
- Remove the Confidential flag
Users who are not the Job Creator cannot perform these actions.
How confidential candidates behave
Candidate Management
You can:
- Source candidates
- Screen candidates
- Move candidates through hiring stages
- Schedule interviews
- Conduct interviews
- View candidate profiles (authorised users only)
- Archive candidates
Offer Management
Offer workflows are not supported for confidential candidates.
The following actions are hidden and blocked:
- Create Offer
- Release Offer
- Offer-related actions
If an offer release is attempted through APIs or other entry points, the request is rejected.
Preboarding
Confidential candidates can move to Preboarding.
However, the following features are unavailable:
- Offer workflows
- Information collection workflows
- Task assignment workflows
When moving a confidential candidate to Preboarding, users will see the following warning message:
Confidential candidates won't have offer workflows or information collection available in Preboarding, unlike regular candidates.
Tasks and Onboarding
Tasks are not supported for confidential candidates.
The system does not:
- Create tasks
- Assign tasks
- Send task notifications
- Trigger onboarding workflows
- Trigger preboarding workflows
Add Employee
You can add a confidential candidate as an employee.
However:
- The Initiate Onboarding option remains disabled.
- Associated onboarding automations are not triggered.
Reports, Analytics and APIs
For users without access:
- Confidential candidates do not appear in reports.
- Confidential candidates do not appear in analytics.
- Confidential candidates do not appear in searches.
- Confidential candidates do not appear in API results.
For authorised users:
- Confidential candidates are visible with a Confidential indicator.
Board View
In Board View:
- A Confidential Candidate icon is displayed.
- Actions follow the same restrictions as List View.
- Bulk action restrictions are enforced.
Important Notes
- Confidential Hiring is designed to prevent accidental data exposure.
- Offer workflows are unavailable in Phase 1.
- Task workflows are unavailable in Phase 1.
- Standalone Preboarding is unavailable in Phase 1.
- Customers should follow their existing offline process for confidential offers and onboarding activities.
- Access permissions are enforced across UI, reports, notifications, and APIs.
Example Scenario
A company is hiring for a sensitive leadership position and wants the candidate's identity visible only to a limited hiring team.
The Job Creator marks the candidate as Confidential.
As a result:
- Only authorised users can view the candidate.
- Offer actions are hidden.
- Tasks are not created.
- Notifications are suppressed.
- The candidate does not appear in reports or searches for unauthorised users.
This ensures the candidate's information remains confidential throughout the hiring process.
