Schedule Employee Job Changes in Advance
HR teams can now schedule employee job-detail updates in advance using Future Effective Dates in Employee Job Details Import.
Instead of manually updating employee records on the day of a transfer, reporting manager change, department movement, or policy update, admins can now upload future-dated changes and rely on Keka to automatically apply them on the effective date.
This release addresses a long-standing customer request and lays the foundation for future lifecycle automation workflows.
What's New?
Schedule future-dated job changes through bulk import
A new Effective From field is now available in the Employee Job Details Import template.
Admins can enter a future date while updating employee job attributes. Keka stores the change as a scheduled update and automatically applies it on the specified date.
Supported Fields
Future effective dates are supported for:
- Business Unit
- Department
- Location
- Cost Center
- Reporting Manager
- Dotted Line Manager
- Secondary Job Title
- Pay Band
- Pay Grade
- Time Type
- Employee Number
- Notice Period Policy
- Worker Type (Contract → Permanent only)
Additionally:
- Job Title is supported through the new effective-dated framework.
Intelligent Validation for Manager Changes
When scheduling Reporting Manager or Dotted Line Manager updates:
- A warning is displayed if the selected manager is on notice period but remains active on the effective date.
- The update is blocked if the manager's Last Working Day falls on or before the effective date.
This helps prevent invalid manager assignments from being scheduled.
Automatic Processing
Scheduled changes:
- Execute automatically on the effective date.
- Keep current employee data unchanged until the scheduled date arrives.
- Continue to work with Auto Assigner configurations.
- Are processed even if the effective date falls on a weekend or holiday.
Conflict Handling
To prevent duplicate schedules:
- Only one pending schedule is allowed per employee field.
- The latest future-dated update overrides an existing pending schedule.
- Admins receive warnings when scheduled changes already exist.
Audit and Reliability Enhancements
The release includes:
- Complete audit tracking for scheduled updates.
- Scheduled job retry mechanisms.
- Protection against duplicate execution.
- Failure handling and notification support.
- Scheduled change indicators in import history.
