Manage Confidential Candidates in Hiring (Beta feature)

Overview

Confidential Hiring helps organisations protect candidate information for sensitive hiring requirements.

When a candidate is marked as Confidential, their information is restricted to authorised users only. To prevent accidental exposure, offer workflows, onboarding workflows, notifications, and related automations are blocked.

Who can access confidential candidates?

Can access

Job Creator
Hire Admin
Hiring Manager assigned to the job
Interviewers assigned to the job
Super Recruiters with the Private Candidate Permission

Cannot access

HR Operations users
Finance users
IT teams
Buddy assignees
Default task assignees
Reporting consumers
Any user outside the authorised access circle

Mark a candidate as confidential

Permission requirement

Only the Job Creator can:

Mark a candidate as Confidential
Remove the Confidential flag

Users who are not the Job Creator cannot perform these actions.

How confidential candidates behave

Candidate Management

You can:

Source candidates
Screen candidates
Move candidates through hiring stages
Schedule interviews
Conduct interviews
View candidate profiles (authorised users only)
Archive candidates

Offer Management

Offer workflows are not supported for confidential candidates.

The following actions are hidden and blocked:

Create Offer
Release Offer
Offer-related actions

If an offer release is attempted through APIs or other entry points, the request is rejected.

Preboarding

Confidential candidates can move to Preboarding.

However, the following features are unavailable:

Offer workflows
Information collection workflows
Task assignment workflows

When moving a confidential candidate to Preboarding, users will see the following warning message:

Confidential candidates won't have offer workflows or information collection available in Preboarding, unlike regular candidates.

Tasks and Onboarding

Tasks are not supported for confidential candidates.

The system does not:

Create tasks
Assign tasks
Send task notifications
Trigger onboarding workflows
Trigger preboarding workflows

Add Employee

You can add a confidential candidate as an employee.

However:

The Initiate Onboarding option remains disabled.
Associated onboarding automations are not triggered.

Reports, Analytics and APIs

For users without access:

Confidential candidates do not appear in reports.
Confidential candidates do not appear in analytics.
Confidential candidates do not appear in searches.
Confidential candidates do not appear in API results.

For authorised users:

Confidential candidates are visible with a Confidential indicator.

Board View

In Board View:

A Confidential Candidate icon is displayed.
Actions follow the same restrictions as List View.
Bulk action restrictions are enforced.

Important Notes

Confidential Hiring is designed to prevent accidental data exposure.
Offer workflows are unavailable in Phase 1.
Task workflows are unavailable in Phase 1.
Standalone Preboarding is unavailable in Phase 1.
Customers should follow their existing offline process for confidential offers and onboarding activities.
Access permissions are enforced across UI, reports, notifications, and APIs.

Example Scenario

A company is hiring for a sensitive leadership position and wants the candidate's identity visible only to a limited hiring team.

The Job Creator marks the candidate as Confidential.

As a result:

Only authorised users can view the candidate.
Offer actions are hidden.
Tasks are not created.
Notifications are suppressed.
The candidate does not appear in reports or searches for unauthorised users.

This ensures the candidate's information remains confidential throughout the hiring process.

Can I create or release offers for confidential candidates?

No. Offer workflows are blocked in Phase 1.

Can onboarding tasks be assigned?

No. Task creation and assignment are disabled.

Will confidential candidates appear in reports?

Only for authorised users. Unauthorised users cannot view confidential candidates in reports, analytics, searches, or APIs.

Can confidential candidates be added as employees?

Yes. However, onboarding initiation and related automation remain disabled.

Will emails be sent for confidential candidates?

No. Relevant hiring, onboarding, and employee-related emails are suppressed to prevent unintended disclosure.
