What are Dependent Tasks?
Dependent Tasks allow specific tasks to be automatically triggered once preceding tasks are completed.
This feature is especially valuable in structured workflows such as onboarding, where one task naturally follows another.
For example, an employee might need to submit degree certificates before being prompted to submit address proof. With dependent tasks, this process becomes automatic and seamless.
How to Set Up Dependent Tasks
Setting up dependent tasks in Keka is simple and efficient. Follow these steps to configure them:
Go to Org → Onboarding → Task Templates.
Click + Add Task Template to create a new one, or Edit an existing template to add dependencies.
Define Dependencies
In the Triggered section, select Dependent on Another Task from the dropdown.
-
Use the search bar to select the preceding task.
The selected task must be completed before the dependent task is activated.
Set the due date relative to the completion of the preceding task.
Assign task owners and approvers, if required.
Define applicable departments, locations, or roles to ensure the task reaches the right audience.
Note: Filters applied to the preceding task are automatically inherited by the dependent task.
You cannot add new filters but can further narrow existing ones.
Once configuration is complete, click Create Task or Save Changes (if editing an existing template).
The task will appear in your Task Templates list with a special icon indicating it’s a dependent task.
Completing Dependent Tasks in Keka
When onboarding is initiated, dependent tasks appear in the employee’s Keka inbox along with their preceding tasks.
Let’s look at an example where “Submit Address Proof” is dependent on completing “Submit Degree Certificates.”
Step 1: Complete the Preceding Task
The employee receives notifications for both tasks in their inbox.
Select Submit Degree Certificates and click Continue to Upload.
-
In the Upload Task section:
Click Upload to attach the certificate.
Enter details such as Degree, Branch/Specialization, Year of Joining, Year of Completion, and CGPA/Percentage.
To upload additional certificates, click Add New.
Click Save Document to store progress or Upload and Mark as Complete once finished.
Step 2: Complete the Dependent Task
Once the first task is marked complete, the Submit Address Proof task automatically activates.
The employee can now complete it in the same manner and mark it as done.
Step 3: Final Confirmation
After all dependent tasks are completed, go to the Inbox section, verify task statuses, and click Save.
The Dependent Tasks feature in Keka’s Task Templates streamlines complex workflows by automatically triggering tasks in sequence.
This ensures no critical step is missed, enhances efficiency, and simplifies task management for both HR teams and employees.
