Introduction
The Payroll Admin section in Keka allows payroll administrators to easily manage and update large volumes of employee data. You can bulk import bank details, compensation details, deductions and benefit assignments—all within a few clicks.
This feature reduces manual effort, ensures data accuracy, and simplifies payroll management for organizations of any size.
Accessing Payroll Imports
Go to Payroll Admin from the left menu.
Click Payroll Imports from the list of options.
Here, you’ll find separate import options for Bank Details, Compensation Details, and Benefit Assignments.
Importing Bank Details
In the Payroll Imports section, click Bank Details Import.
Click Import.
Select the Pay Schedule from the dropdown to filter the template for employees on that schedule.
Click Excel Template to download the import file.
Review the Upload Instructions on the right for formatting and data requirements.
Note: This process supports adding new bank details only. You cannot update existing information through this import.
Fill the Template
Open the downloaded Excel file and complete all mandatory fields (highlighted in red). Missing information will prevent successful import.
Upload the File
Go back to Payroll Imports and click Upload Excel File.
Match your Excel columns to Keka’s data fields.
Review all entries in the preview section to confirm accuracy.
Once validated, click Finalize Import to complete the upload.
After processing, Keka updates employee bank records automatically.
Importing Compensation Details
You can bulk import employee compensation structures using a similar process.
Click Import under Compensation Import.
Select the Legal Entity and Worker Type.
Click Excel Template to download the file specific to that combination.
Review the Upload Instructions carefully before filling out the sheet.
Enter the compensation details, upload the file, match columns, and finalize the import.
This ensures that all compensation data aligns with your organization’s payroll configuration.
Importing Benefit Assignments
The import process for benefit assignments mirrors the previous steps.
Click Import under Benefit Assignment Import.
Select the Legal Entity.
Click Download Template and review the Upload Instructions.
Fill in all required details accurately.
Upload, match columns, preview, and finalize the data import.
Notes & Tips
Note: Red-highlighted columns in the Excel template are mandatory. Incomplete data in these fields will cause the upload to fail.
Tip: Always review the upload instructions displayed on the right panel. They include data formatting guidance and example values for each field.
Warning: The bank details import can only add new information. Updates to existing bank records must be done manually.
