Introduction
Archiving is a helpful way to store candidate records for long-term reference without cluttering your current hiring workflow. If a candidate is no longer part of the interview process—whether they’ve been rejected or withdrawn- you can archive them in Keka Hire. This moves them to a dedicated Archived list under the job, keeping their data accessible but out of the active hiring flow.
Archive a Candidate from a Job Pipeline
Go to the Hire section and click Jobs.
Select the job associated with the candidate you want to archive.
In the job pipeline, go to the Stage the candidate is in.
Under the Actions column, click the three dots (⋮) next to the candidate’s name.
Select Archive Candidate.
On the archive screen:
Select a reason for archiving.
Add any comments you want to include.
Choose whether to notify the candidate via email.
If you're notifying them, you can edit the email body as needed.
You can also attach files if relevant.
Click Confirm to complete the process.
Bulk Archive Multiple Candidates
Use the checkboxes next to the names of multiple candidates.
Click on Bulk Actions at the top.
Select Archive Candidate.
Fill in the archive form as described above and confirm.
Notes, Tips, Important
Tip: Archiving doesn’t delete candidate information. You can still view archived profiles later from the job’s archived list.
