Introduction
Keka allows you to configure leave accrual rules based on your organisation’s HR policies. If employees should begin accruing leave only after completing a specific number of days from their date of joining, you can easily set this up during the probation period.
This article walks you through configuring leave accrual to start after “X” days from the joining date, along with key considerations to ensure accurate leave calculations.
Who Can Access This Feature?
- Admins with access to Time & Attendance settings
- Users with permission to configure Leave Plans
Set Up Leave Accrual Based on Employee Joining Date
Go to the Time Attend section in your Keka portal.
Click on Leave and then open the Leave Plans tab.
Select the appropriate Leave Plan.
Find the Leave Type you want to configure.
Click the three dots next to the leave type name and choose Update.
In the Leave Configuration window, scroll to the Probation section.
Click on Accrual for Probation.
Enable the option During Probation accrue leave.
Once enabled, you’ll see these configuration options:
Start accruing immediately
Start accruing after X days from the joining date
Accrue X days of leave per month during probation
- Choose one of the following options:
- Start accruing immediately
- Start accruing after X days from the joining date ✅ (Use this option for delayed accrual)
- Accrue X days of leave per month during probation
- Enter the required number of days (X) if selecting the delayed accrual option and save the configuration.
Notes, Tips, Important, Warnings
- After the probation period ends, the system automatically switches to the annual leave quota.
- The leave balance will be prorated based on the remaining calendar days in the year.
- Ensure that the probation period duration is correctly configured for accurate accrual.
- Verify whether the leave plan is configured based on:
- Calendar Year, or
- Employee Joining Date (anniversary-based)
- This setting can significantly impact leave accrual behaviour and is a common reason for discrepancies when troubleshooting delayed accrual scenarios.
