Instant Comp-Off Credit

Overview

Instant Comp-Off Credit ensures that employees receive their compensatory off balance immediately after their overtime request is approved. This removes delays caused by batch processing and allows employees to apply comp-off leave without waiting.

Who can access this feature?

• Employees
  • Can fetch pending comp-off credits
  • Can apply leave using the updated balance
• Managers
  • Approve overtime requests (trigger for credit)
• HR/Admins
  • Perform attendance corrections
  • Receive warnings if credits already exist

How to use Instant Comp-Off Credit

1. Automatic Credit (Primary Flow)

1. Employee works on a weekend/holiday
2. Employee raises an overtime request
3. Manager approves the request
4. Comp-off credit is instantly added to the employee’s balance

✅ Employee can immediately apply leave

2. Fetch Pending Comp-Off Credits (Manual Trigger)

If the credit is not yet visible:

1. Go to Me > Leave
2. Click Fetch pending comp-off credits (below Apply Leave)

From Apply Leave screen

1. Click Apply Leave
2. Select Comp-Off as leave type
3. Click Fetch pending comp-off credits

What happens after clicking the CTA

• System recalculates: 
  • Work hours
  • Approved overtime
• Eligible credits are added to the comp-off balance

✅ You will see a confirmation message:

“Comp-off credits fetched till {date time}. Your comp-off balance has been updated.”

What happens when attendance is modified later

If attendance or holiday records are edited after credit is issued:

Scenarios

1. Leave not applied
   1. Comp-off balance is reduced
2. Leave applied with sufficient balance
   1. Balance is adjusted
   2. Leave remains unchanged
3. Leave applied with insufficient balance
   1. Balance becomes negative

System message shown in transactions:

“Comp-off credit recalled due to adjustment on {date}.”

Important Notes

• Comp-off credit is given only after manager approval
• No duplicate credits will be created
• No credits will be issued for past records (before feature release)
• Existing leave application workflow remains unchanged
• Attendance corrections can revoke credits
• HR/Admins will receive a warning before making such changes

Example Scenario

An employee works on Sunday and raises an overtime request.

• Monday morning: Manager approves the request
• Comp-off credit is instantly added
• Employee applies comp-off leave for the same day
