Keka now extends the power of rule-based policy automation beyond onboarding. This enhancement ensures that every time an employee’s department, designation, or location changes, the appropriate policies are automatically suggested—eliminating the need for manual intervention.
The Problem
While rule-based assignment during onboarding streamlined policy mapping for new hires, internal job changes such as promotions or relocations continued to require manual updates. This often led to:
- Delays and time-consuming policy updates
- Increased risk of errors and compliance gaps
- Limited visibility into which employees needed updates and why
Feature Overview
Rule-Based Assignment now monitors internal parameter changes and dynamically suggests applicable policy updates. Supported parameters include:
- Department
- Designation
- Location
- Role
Key Capabilities:
- Automatic detection of policy mismatches when employee parameters are changed
- Admin notifications with prompt for action
- Side-by-side view of current vs. updated policy assignments
- One-click policy reassignment with configurable effective dates
Example Scenarios
- A Marketing team member moves to Sales — relevant attendance or shift policies are suggested
- An employee relocates from Hyderabad to Bangalore — the system proposes a new holiday calendar
- A promotion from Intern to Manager — updated policies mapped to the new role are displayed
How It Works
1. Trigger:
When an employee’s department, designation, or location is updated, the system automatically identifies potential policy mismatches.-jpeg.jpeg)
2. Detection and Notification:
A system-generated prompt alerts the admin:
“The assigned policies don’t match the configured rules. Would you like to assign policies based on defined rules?”

3. Review and Assignment:
Admins can then:
- Review the current and newly applicable policies
- Select or deselect individual policy changes
- Set an effective date
- Apply changes with a single click
