Introduction
Sometimes a candidate isn’t the right fit for a current role but shows promise for future opportunities. Instead of closing their profile outright, you can move them to the Talent Pool in Keka Hire.
This allows you to exit the current hiring loop respectfully while keeping great candidates engaged for future openings.
Move Candidate to Talent Pool
From the left navigation menu, go to the Hire module.
In the Jobs tab, open the job from which you want to move the candidate.
Click the Candidates tab for that job.
Select the candidate(s) you want to move.
Click the three-dot menu next to the candidate’s name and choose Move to → Talent Pool.
In the Move to Talent Pool panel:
Select an Archive Reason (e.g., Not Qualified).
Optionally, toggle on Notify Candidate to send an email update.
Choose an existing Talent Pool, or create a new one.
Enter a brief note under Reason (optional) (e.g., Less experience).
Customize the email subject and message, if you’re notifying the candidate.
Click Move to complete the action.
When to Use This
Move candidates to the Talent Pool when:
The job is canceled or no longer available.
The candidate doesn't meet current role requirements but may fit future roles.
You’re building a pipeline for upcoming positions.
What Happens Next
The candidate is archived from the current job.
They are added to the selected Talent Pool for future consideration.
If notifications were enabled, the candidate receives a custom email letting them know they remain in your hiring network.
Notes, Tips, Important
Tip: Use the Talent Pool to reduce time-to-hire for future roles and maintain a strong, respectful candidate experience.
