Introduction
Keka now allows you to customize profile field permissions specifically for profile photos, giving organizations—especially those managing a blue-collar workforce—greater control over employee profiles.
Both employees and managers can be assigned specific permissions for profile photos, ensuring that updates follow the right approval flow.
Available Permission Options
You can assign any of the following permissions for profile photos:
Can View – User can view the photo.
Can Update – User can change the photo.
Approval Not Needed – Changes are auto-approved.
Need Approval from Manager or HR Admin – Requires manager or HR review.
Need Approval from HR Admin – Only HR can approve changes.
Steps to Set Profile Photo Permissions
Go to Org → Employees.
Click Settings to open the Employee Profile Layout page.
Click the three dots (⋯) and select Manage Field Permissions.
Confirm work location before customising field permissions by clicking Continue
In the dropdown under the employee profile header, find Profile Image.
Click the pencil (edit) icon next to it.
Adjust the permissions as needed.
Click Save to apply the changes.
Reviewing Requests
If the permission is set to “Approval Needed,” any updates will require review.
Go to Org → Employees → Profile Changes.
You’ll see a list of employees awaiting approval.
Under the Actions tab, click Verify to review the change.
Choose to Approve or Reject the request.
If rejecting, provide a reason for rejection.
That’s it! You’ve successfully configured and managed profile permissions in Keka.
