What is a Legal Entity?
A legal entity represents an organization that is officially registered under the law. It grants the company its own identity — separate from its owners or stakeholders — with the ability to:
Enter into contracts
Manage finances independently
Operate across different locations or countries
Comply with taxation and government regulations
Protect business owners from personal liability
In Keka, managing multiple legal entities lets you streamline compliance, localize payroll, and ensure that documents like payslips, offer letters, and forms display the correct entity branding and details.
How to add legal entities in Keka?
Go to Org from the left navigation menu.
In the Org Structure tab, click Legal Entities.

Click Add Legal Entity.

In the Add Legal Entity window, fill in the following:
Country: Select from the dropdown. This sets the currency.
Logo: Upload a logo (max 600 KB, dimensions 100x60 px).
Entity Name: Internal name used within Keka.
Legal Name: As per official incorporation documents.
Company Identification Number
Date of Incorporation
Type of Business
Sector
Nature of Business
Complete Address

Click Add to save the legal entity.
You can repeat this process to add multiple entities based on your organization’s structure.
You can add as many entities as you have, depending on your business structure. Once you have added a legal entity, the details will be visible on the Legal Entities window.
There are 2 other aspects that you need to focus on once you have added the legal entities.
- Authorized Signatories
- Bank Details
Add Authorized Signatories
Authorized signatories are individuals who can legally sign documents for the entity.
Go to the Legal Entities section and select the relevant entity.
Click on the Authorized Signatories tab.

Click Add Authorized Signatory.

Enter the following details:
Signatory Name
Designation
Email
Father’s Name
Address

Click Add Signatory to save.
You can add multiple signatories per entity.
You can now view all signatories added to any legal entity by selecting the appropriate Legal Entity from the list.
You also need to add bank details for the legal entity to enable payroll and expense processing for the employees in this legal entity.
Add Bank Details
Adding bank information enables payroll and expense processing for the legal entity.
From the Legal Entities page, select the entity.
Click the Bank Details tab.

Click Add Bank Detail.
Fill in the required bank account details.

Click Save to finish.
You’ve now finished adding all the required details for a legal entity to function inside the Keka HR Portal.
Let us now look at how you can edit or remove a legal entity from the Keka HR Portal.
Options & Variants
You can manage multiple legal entities under one Keka subscription.
Each entity can operate in a different currency based on the selected country.
Logo branding is entity-specific and reflected in employee documents.
Edit or Delete a Legal Entity
You can update or remove any legal entity added to your Keka account.
To edit a legal entity:
Go to the Legal Entities page.
From the left pane, select the entity you want to modify.
Click the three dots icon and choose Edit.
In the Update Legal Entity window, make the necessary changes.
Click Update to save.
To delete a legal entity:
From the same Legal Entities page, select the entity to be removed.
Click the three dots icon and choose Delete.
In the confirmation popup, click Confirm.
Important: A legal entity can only be deleted if no employees are currently assigned to it. Reassign any assigned employees before proceeding.
Notes, Tips, Important, Warnings
Tip: Use a meaningful and recognizable Entity Name to avoid confusion when managing multiple entities.
Important: A legal entity cannot be deleted if it has employees assigned. Reassign all employees to another entity before deleting.
Note: All financial transactions for a legal entity will use the currency associated with the selected country.
Troubleshooting
