Overview
Organizations often manage multiple projects simultaneously to meet their clients' needs. However, there are several circumstances that may lead to a project being archived or deleted. These include project completion, changes in strategy or legal requirements, project failure, cancellation, organizational restructuring, or shifts in business priorities.
Keka PSA provides flexible options to archive or delete a project depending on your business needs.
Who Can Do This?
- PSA Admins
- Global Admins
- Client Managers
- Users with delete project privilege.
Pre-requisites
- The project should not be actively in use for current billing or time tracking
- Only users with appropriate permission can delete or archive projects
Step-by-Step Instructions
Navigate to All Projects
- Go to the Projects section
- Click on the Projects tab
- Select All Projects from the view options
- Locate the project you want to archive or delete
Archive or Delete the Project
- Click the three-dot menu under the Actions column for the selected project
- Choose either Archive or Delete based on your requirement
Archived projects can be restored, but deleted projects are permanently removed
Confirm the Action
- A confirmation popup will appear
- For archiving, enter a reason in the required field
- Click Archive or Delete to complete the action
Once archived, the project will move to the Archived Projects section and can be accessed or restored as needed.
FAQs
Q: Can I recover a deleted project?
A: No. Deleted projects are permanently removed and cannot be recovered.
Q: What happens to time entries and invoices for an archived project?
A: All historical data is retained and visible in reports, but the project will no longer be available for new task assignments or billing.
Q: Can I archive a project that still has pending tasks?
A: Yes, but those tasks will also be archived and made inactive but the task stage will still be the same.
Q: Who can restore an archived project?
A: PSA Admins and Global Admins can reactivate archived projects.
Q: Can I edit the details of an archived project?
A: No.
