Sometimes, due to spelling errors or updates in official records, an employee's name may need to be changed in Keka. While updating the name is straightforward, it’s important to note that changes to personal details like name will not automatically reflect in the payslip unless payroll is reprocessed.
Step 1: Change the Employee’s Name
Use the Global Search to find the employee
Go to their Profile
Click on Edit under the Primary Details section
In the pop-up window, update the Name field
Click Update to save the changes
Step 2: Ensure the Name is Reflected in the Payslip
To reflect the updated name in the payslip, you must process payroll for the upcoming month. This ensures the changes are captured.
Preview Run Payroll:
Go to the Payroll section
Click on Run Payroll
Scroll down and click Process Payroll
This processes the upcoming month's payroll with the updated employee details, including the name.
Important Note:
Changes will not reflect in payslips for payroll months that have already been finalized.
Updated names will appear only in future payroll cycles after processing.
By following these steps, the employee’s name will be correctly displayed on their upcoming payslips.
