Tracking and managing resource utilization

Understanding resource utilization on each project is crucial for assessing project efficiency from a resource management standpoint. It is essential to maintain an optimal number of resources assigned to each project. If you discover low resource utilization on a project, the focus should be on enhancing efficiency. Conversely, if resources are being effectively utilized but tasks remain incomplete, it may indicate the need for additional resources on that project.

Strategic decision-making in resource management stems from a clear understanding of how resources are allocated and used. In the following sections, we will explore how to view resource utilization within Keka PSA.

 

You can assess resource utilization through both the Utilization section of the Resource feature and the Analytics section of Keka PSA, where you can access detailed resource utilization reports.

To begin, navigate to the Project section by clicking on it from the left tab. Then, select Resources. Once there, click on the Utilization tab to access the relevant data.

 

 

In this section, you will find statistics comparing allocated hours to actual utilization for resources across various departments. To refine your view, you can apply filters based on Date Range, Department, Project, and Utilization levels.

The graph displayed will illustrate the total allocated hours versus utilization for the selected data. By hovering over any element in the graph, you can see the corresponding total allocated hours and utilized hours.

Additionally, the second part of the screen presents the same data at the individual resource level. You can further narrow down the list using filters as needed. For instance, if you're interested in identifying resources with utilization rates between 10% and 40% across the organization over the past six months, simply set the Date Range to six months and select the appropriate ranges in the Utilization filter (10-20%, 20-30%, and 30-40%).

You can select the resources and then click on Allocate Project if you want to assign a project to them.

 

 

If you prefer to assign projects to individual resources, simply click on the three dots icon located in the Actions column and select the Allocate option from the dropdown menu.
