Streamline Timesheet Management: Approve, Track, and Download Project Hours Efficiently with Keka
Project timesheets are crucial for tracking the time employees spend on various tasks and projects. They provide valuable insights into project progress, resource distribution, and overall performance. Timesheets typically include essential details such as the project or task name, date, work duration, and the employee(s) involved. In this article, we'll explore the key features available for managing team timesheets in Keka. Please note that feature visibility may vary depending on your organization's policies.

How to Manage Your Team's Timesheets
To begin managing timesheets for your team, navigate to the My Team section and open the Timesheets tab. This section is divided into three key areas: Approvals, Project Time, and Week Summary. Here, you can approve or reject timesheets, track the total hours spent on each project, and access detailed weekly summaries, including billable and non-billable hours.
Approving or Rejecting Timesheets
To approve or reject timesheets submitted by your team, click on the Approvals section. You will have two viewing options: Employee View and Project View.
- Employee View: Review and act upon individual timesheets submitted by specific employees.
- Project View: Review and act upon all timesheets for a particular project, submitted by all employees involved.
Approving or Rejecting Employee Timesheets
Select Employee View. Choose the employee whose timesheet you want to act upon. Check the box next to the timesheet you wish to approve or reject. Click Approve or Reject.
If you select Reject, an overlay window will appear where you will need to provide a reason for rejection before clicking Reject again to confirm.
Approving or Rejecting Project Timesheets
Select Project View. Choose the relevant project. Check the boxes next to the timesheets you want to approve or reject. Click Approve or Reject.
As with individual timesheets, if you choose Reject, you'll need to provide a reason for rejection before confirming.
Viewing Project Time
To view the total hours your team has spent on a specific project, follow these steps:
Navigate to My Team > Timesheet. Under the Project Time section, select the project. You will see a breakdown of employee involvement and the total billable/non-billable hours. If you wish to download the data, click on the Download button to export it in Excel or PDF format.
Accessing Week Summary
To see a weekly overview of your team’s timesheet activity, including billable and non-billable hours:
Go to My Team > Timesheet. Under the Week Summary section, click the Calendar icon and select your desired date range. The summary will display employee-wise timesheet counts, including billable and non-billable hours. To download the summary, click the Download button for an Excel or PDF export.
