Billing classifications in Keka PSA enable organizations to streamline task management by categorizing tasks as billable, non-billable, or under other specific classifications such as ad hoc tasks. These classifications play a crucial role in ensuring tasks are properly organized for billing and financial processes, allowing for better project tracking and accountability.

What Are Billing Classifications?

Billing classifications help differentiate tasks within projects based on their billing status.

  • Billable Tasks: Activities that generate revenue and are billed to the client.
  • Non-Billable Tasks: Internal or non-client-facing activities that do not generate direct revenue.
  • Ad Hoc Tasks: Special cases with unique billing arrangements.

By leveraging billing classifications, you can better allocate resources, track project costs, and maintain clear financial records.

How to View and Add Billing Classifications

  1. Access Billing Classifications

    • Navigate to the Project section from the left-hand menu. Click on the Policies & Settings tab. Go to the Billing Classifications tab to view existing classifications.
    • Click the +Add Billing Classification button.



    • In the Add Non-Billable Classification screen:
      • Name: Enter a name for the classification.
      • Description (Optional): Provide context for the classification.
    • Click Add to save your new classification.

Note: Only non-billable classifications can be added manually.

 

Editing and Managing Billing Classifications

  1. Edit a Classification

    • Locate the billing classification you want to modify. Click the Edit icon and update the name or description as needed. Save changes to ensure they are reflected across projects.
  2. Delete a Classification

    • Click the Delete icon to remove a classification.



Important: A classification cannot be deleted if it has been used in submitted timesheets. Clear all associated assignments before attempting deletion.

 

Using Billing Classifications in Projects

Once your billing classifications are set up:

  • Apply them to tasks: When creating tasks for a project, assign the relevant billing classification to each task.
  • Streamline reporting: Differentiate billable and non-billable tasks in timesheets and project reports for accurate financial analysis.

 

Advanced Task Management

For enhanced flexibility, Keka PSA allows you to hide the billing status from specific resources. This feature can be particularly useful in sensitive projects or when working with external teams.
