In the dynamic world of performance management, Keka is excited to introduce a significant enhancement to our review process: the Aggregate Review Cycle feature. This innovative addition is designed to simplify and streamline the way organizations conduct and calculate yearly performance reviews.
Organizations often follow a quarterly or half-yearly review process. After conducting these multiple reviews throughout the year, it becomes a challenging task to consolidate these ratings to derive a final, comprehensive annual rating. Keka's new feature aims to address this need by allowing performance admins to easily aggregate ratings from multiple review cycles.
Step-by-Step Guide to Implementing Aggregated Reviews
To begin, navigate to the Performance (1) section and select the Reviews (2) tab. There, you will find the option to create a new review cycle under the Review Cycle (3) tab. Select the dropdown (4) menu next to the "Create Review Cycle" option to access the feature for setting up an aggregate review cycle (5).
On the first screen of the Aggregate Review Cycle Setup in Keka, you will name(1) the cycle and provide a brief description(2). Use the Next(3) button to proceed, or Save as draft(4) to finish later.
The second step review form involves selecting past review cycles(1) to include in the aggregation and deciding whether to add questions(2) for the Reporting Manager's feedback. Select the Add Questions(3) option to either formulate new questions or utilize pre-existing ones that meet your specific needs.
Here, you can choose the specific review instances that will contribute to the aggregate rating, which will be automatically calculated by Keka once the aggregate review cycle is launched. Calibration options are available post-launch if adjustments to the ratings are needed.
Select "Use this question" to incorporate the pre-existing questions into your review cycle, and then click "Save" to finalize their addition.
Enabling 'Questions for Reporting Manager' allows you to add customized questions. When you click Edit you can modify these questions, which might include inquiries about accomplishments, challenges faced, or goals for the next period.
You can modify the question as needed, and then click on the save option to apply the updates. After that, ensure to click the Save button located in the top right corner to finalize your changes.
Use the Next button to proceed.

In the 'Publish' step of the Aggregate Review Cycle setup, you have the option to enable managers to write a review summary for a more personalized feedback experience. This summary will encapsulate the key takeaways from an employee's performance review. You also define who can write and publish the review summary and finalize the feedback visibility settings for employees, with the 'Performance Admin' typically having the publishing rights to ensure control over the distribution of the final review information.
The 'Map Employees' step in the Aggregate Review Cycle setup on Keka is where you assign which employees will be included in this review cycle. Here, you can filter and select employees by department, job title, location, business unit, pay grade, or legal entity. Once the relevant employees are identified, you can finalize the mapping and click on Save option.
After clicking the Save button, a confirmation screen will appear. Please click on the Confirm option to proceed.
Once you confirm the employees, click on Complete setup to create aggregate review cycle.
In the final step within the Keka review cycles section, clicking the Launch(2) button will initiate the aggregate review cycle you've set up. The aggregate icon(1) indicates that this review cycle will compile and calculate the average of past reviews to form a comprehensive annual evaluation for the employees involved.
Calibration
Just like the standard review process, the aggregate review process in Keka includes a calibration phase during the post-review period. This step ensures that the aggregated scores are reflective of the employees' performance across all the review cycles included and allows for adjustments to maintain fairness and accuracy in the final evaluation.
