Tailor your timesheet submission process in Keka PSA to meet your organization's specific needs
Before assigning a timesheet policy, configuring timesheet settings is crucial to ensure employees can record and submit hours daily. These parameters streamline daily submissions and set essential restrictions for an efficient approval workflow.
Setting Up Daily Timesheet Submission for Employees
To enable daily timesheet submissions, follow these steps to configure settings in Keka:
Navigate to the Project module in the left sidebar and select "Policies & Settings." Under the Timesheet tab, click on "Policies" to view the list of available timesheet policies. Select the desired timesheet policy, then click on "Settings." You will find a pencil icon; click on this icon to access the settings for the selected timesheet policy.
In the new window labeled "Update PSA Policy Settings," you will see two options: "Hour Settings" and "Submission Settings." Click on "Hour Settings" to modify the Per Day Timesheet Restrictions or adjust the Timesheet Period Settings. Here, you can also customize the minimum required hours for daily or weekly submissions based on your specific needs.
As you scroll down, you will encounter additional options for editing settings. You can enable the "Shortage of Time Penalty" toggle, where you can specify the number of hours per day or week that will trigger the penalty. Additionally, you have the option to exempt certain events per week from this penalty before it takes effect. You can also set a buffer period, allowing a specified number of days to pass before the penalty is applied. Furthermore, you can choose whether to deduct leave days for each day of the shortage.
The next option pertains to how penalties are deducted; you can select either "Loss of Pay" or "Paid Leave" as the method of deduction. Once you have made your selections, be sure to click the "Save" button to apply your changes.
To update the PSA Policy Settings for Submission Settings, click on the corresponding tab. Here, you will see an option to enable daily time entry submissions by toggling the appropriate switch.
You will also find various options regarding the management of past due timesheets. You can choose to allow submissions even if previous timesheets are outstanding, set limits on submissions for timesheets older than a specified number of weeks, or restrict submissions to future entries based on hours, weeks, or months. Additionally, you can impose restrictions on time entries or time off submissions.
If you wish to allow attachments during timesheet submissions, you can enable that option as well.
To ensure compliance with timesheet submissions, simply enable the compliance toggle and click "Save" to apply your changes.
