Adding opportunities and prospects in Keka PSA

 

 

Opportunities represent potential projects that your organization can undertake for clients. They enable effective tracking and planning of resource allocation, timeline establishment, win probability assignment, and prioritization. The opportunity creation process in Keka PSA facilitates the efficient logging and management of both sales and project opportunities. This guide will provide you with a step-by-step approach to creating opportunities and utilizing the available features to seamlessly transition them into projects.

 

To start the process of logging an opportunity, navigate to the left side of the screen and click on the "Project" option (1). From there, select "Opportunities" (2). This action will direct you to the Opportunities List (3) tab, where you can manage and track your opportunities effectively.


 

On the Opportunities List page, locate the Active section and click on the "Add Opportunity" button to begin the opportunity creation process.

 

 

After clicking the 'Add Opportunity' button, the 'Add Opportunity' window will appear. Here, you will need to fill out the opportunity registration form with the necessary details, which includes several specific fields.

Begin by entering the Opportunity Name, along with an optional Description. Then, choose the appropriate client or prospect linked to this opportunity from the available options in the Client or Prospect field.

Next, identify the individual responsible for overseeing the opportunity by completing the 'Opportunity Manager' field. Specify the start date in the 'Opportunity Start Date' field, and indicate the expected close date in the 'Tentative Opportunity Close Date' field.

You will also need to select the current stage of the opportunity from the 'Opportunity Stage' dropdown menu. If relevant, provide additional project-specific details, such as Billing type, Estimated revenue, and Project duration.

Finally, if you have any pertinent documents, such as RFPs or client-related files, you can attach them via the 'Add Attachments' option.

Make sure all required fields are filled out accurately to facilitate the successful registration of the opportunity. Once you have completed the form, click the Add button to log the opportunity.

 

 

Once you have selected a client or prospect for an opportunity, this choice becomes final and cannot be altered later. Therefore, it is essential to double-check the accuracy of your selection during the opportunity creation process. Additionally, if you need to register a new prospect who is not already in the system, you can easily do so right within the opportunity creation interface.

 

Bulk Importing Opportunities

Keka PSA offers a convenient bulk import feature for opportunities, allowing you to streamline the process and save valuable time. To begin importing opportunities in bulk, follow these steps:

Navigate to the Opportunities List under the Active tab, and locate the Bulk Import Opportunities option, which can be found beneath the +Add Opportunity button. Click on this option to start the import process.

 

 
Download the provided Excel template, which is designed to include fields that correspond to the opportunity registration details. Carefully input the opportunity information into the Excel sheet, adhering to the specified format. After you have completed all the necessary fields, save your work, then navigate back to the Bulk Import Opportunities page. From there, click on the Upload Excel File button to submit your completed template.
