Adding Clients to Keka PSA

Keka PSA empowers you to effectively manage client relationships and projects. By adding clients to your PSA module, you can streamline your workflow and improve billing accuracy.

 

How to Add a New Client in Keka PSA

 

Step-by-Step Process:

    1. Navigate to Projects:
      In the Keka dashboard, select Projects, then go to the Clients section. Click on Add Client to begin adding client details.




  1. Complete Client Details:
    In the Create Client window, fill in the following fields:

    • Client Name: The brand or organization name.
    • Client Code: A unique identifier for the client. Note that this cannot be modified later.
    • Client Manager: The primary point of contact for client-related communications.
    • Billing Currency: Choose the currency for transactions (this field is also locked once set).
  2. Optional Details:
    For accurate invoicing and records, add:

    • Description to specify client details.
    • Billing Address for invoicing.
  3. Finalize Addition:
    Click on Create to add the client.




Once added, further configuration options allow you to assign projects, set rate cards, and manage client contacts, enhancing client management within Keka’s PSA.

 

New Feature: Assigning a Billing Name for Clients

In the latest Keka PSA update, clients now have the option to set a distinct Billing Name if their invoicing name differs from their brand name. This feature ensures the correct entity being billed appears on invoices, offering flexibility for organizations with varied operating entities.

 

Optimizing Client Setup in PSA

To maximize the benefits of the PSA module, additional configurations for the newly added client are available:

  • Setup a Rate Card for customized billing rates.
  • Add Projects directly linked to the client.
  • Add Client Contacts for streamlined communication.

 

Where to Find the Billing Name Option:
Go to the left sidebar, click on Projects, and then select Clients. Here, you will find the Add Client option; click on it to proceed.

 

 

Once you click on Add Client, a new screen will appear displaying the Create Client form. In this form, you will find a section for Billing Details located towards the bottom. Here, you can enter the necessary information as required.

 

Example Scenarios:

  • If a client operates as “Swiggy Delivery” but their legal name is “Bundl Foods & Corp Pvt Ltd,” you can set the billing name accordingly.



    • For organizations with multiple entities, such as “Tata Consultancy Services” and “Tata Motors,” both can be invoiced under “Tata Group.”
