Adding and managing Requisition Approval Workflow

 

In Keka, requisition approvals can be configured as a single approval chain for all requisitions or as rule-based approvals. You can also enable or disable approvals from this section.

To configure the Requisition Approval Workflow in Keka, go to the org (1) section from the left-hand menu, then select Hiring (2). Next click on the Settings (3) tab, locate Requisition Approval and click on Configure (4) to begin setting up the workflow.

 

Single Approval Chain for All Requisitions

To set up a universal approval chain, first Enable approval chain (1) if it is not already, then choose For all requisitions (2) , and click on Edit approval chain (3) .



 

Next, add the appropriate users to the chain, define the approval levels as required in the Approval Chain (1) section and click Update (2) to save the workflow.

 

Rule-Based Requisition Approval

For more customized approvals, you can define multiple rules for different requisition types. The interface displays any previously created rules, and you can add new ones as needed.

On the Configure requisition approvals page, select the Rule based (1) approval chain, and click on +Add rule (2) to create a new rule.



The left section allows defining the Criteria (1) for approvals, while the right section is used to set up the Approval workflow (2). You can select conditions such as department, job title, location, salary range, or job type. Operators like is or is not help refine the criteria. Then click on Create (3) to save the rule.

Managing Approval Rules

After creating rules, they appear under active or disabled categories. From this section, you can view activity, enable or disable rules, delete them, or edit existing ones.

Use Cases for Customized Approval Chains

Customized approval workflows help organizations streamline requisitions effectively. For example, department-specific approvals ensure that engineering roles go through the CTO while marketing roles require CMO approval. Location-based approvals may route requests differently based on regional HR policies. Salary range-based workflows can ensure higher salary offers require finance approval. Job-type-based approvals allow full-time roles to undergo more scrutiny while internship roles might be auto-approved.
