Overview
Organisations often require different overtime compensation rules for specific work scenarios. To support this, Keka now allows administrators to configure Custom Overtime Events with dedicated pay rates and define different overtime rates for specific holidays.
These enhancements help organisations compensate employees appropriately based on the nature of overtime work and the days on which it is performed.
The overtime configuration now includes:
- Custom Overtime Events for specialised overtime scenarios.
- Holiday-Specific Overtime Rates for selected holidays.
- Continued support for existing overtime categories:
- Working Days
- Holidays
- Weekly Offs
Existing overtime configurations remain unchanged and continue to work as configured.
Configure Holiday-Specific Overtime Rates
Administrators can define different overtime pay rates for selected holidays instead of applying a single overtime rate to all holidays.
How it works
- Enable the Define different pay rates for specific holidays option in the overtime policy.
- The system displays all holidays from active holiday plans in the organisation.
- Select one or more holidays.
- Configure a specific overtime pay rate for each selected holiday.
- Save the policy.
The configured rate is applied when overtime is recorded on the selected holidays.
Configure Custom Overtime Events
A new category called Custom Overtime Events is available alongside Working Days, Holidays, and Weekly Offs.
Custom Overtime Events allow organisations to create specialised overtime scenarios with dedicated pay rates.
Example
A hospital may create custom events such as:
- Emergency Response
- Critical Care Coverage
These events can be configured with higher overtime pay rates than standard overtime.
Add a Custom Overtime Event
- Navigate to the overtime policy.
- Under Custom Overtime Events, click Add OT Event.
- Enter the event name.
- Configure the applicable overtime pay rate.
- Save the event.
Once created, the event appears in a selected state by default.
To create additional events, click Add OT Event and repeat the process.
Note: Custom Overtime Events can only be compensated through Pay for work hours. Compensation through Comp Offs is not supported.
Submit Overtime Requests for Custom Events
When Custom Overtime Events are enabled and configured in an overtime policy, employees can associate overtime requests with the relevant event.
Select a Custom Overtime Event
While submitting an overtime request:
- Select the overtime period.
- Choose the applicable event from the Overtime Event dropdown.
The dropdown displays only the configured and enabled Custom Overtime Events available in the OT policy.
Date Range Warning
If an employee selects a date range for an overtime request (for example, 1 February to 10 February), a warning message will be displayed prompting them to select only the dates on which the custom overtime event was worked.
This helps ensure accurate overtime calculations.
View Custom Events During Approval
When an employee selects a Custom Overtime Event while raising an OT request:
- The selected overtime event is displayed in the approver's Inbox.
- Approvers can easily identify the overtime scenario associated with the request.
