The Skills Repository is the centralised library for managing skills across your organization. It enables administrators to create, organize, and maintain skills using a structured hierarchy, manage skill classifications and behaviours, associate skills with skill families, and perform bulk repository operations.
 
As the single source of truth for all skills within the Skills module, the repository provides a scalable framework for building, tracking, and managing organizational capabilities.
 
To support diverse competency frameworks, the Skills Repository offers a flexible hierarchy structure with up to five levels. This allows organizations to categorize skills in a way that aligns with their business functions, career frameworks, and skill management practices.
 
A typical hierarchy structure may include:
  1. Domain - The highest level of skill classification (for example, Engineering, Sales, or Finance).
  2. Category - Broad skill groups within a domain.
  3. Subcategory - More specific classifications within a category.
  4. Practice Area - Specialized areas of expertise within a subcategory.
  5. Additional Level - An optional fifth level that can be configured to meet organizational requirements.
This hierarchical approach improves skill organisation, simplifies repository management, enhances reporting, and makes it easier to classify and discover skills across the organisation.

Access the Skills Repository

  1. Navigate to Performance.
  2. Select Skills.

  3. Click Repository.

 
The Repository page displays all configured skills along with repository structure and management options.

Repository Overview

The Skills Repository dashboard provides a quick summary of repository usage and adoption across the organisation.

Total Skills

Displays the total number of skills available in the repository.

Total Domain Count

Displays the total number of domains configured in the repository hierarchy.

Employees Assigned

Displays the number of employees who have been assigned repository skills.
 

Understanding the Repository Structure

Depending on your organisation's configuration, skills may be grouped into:
  • Domain
  • Category
  • Subcategory
  • Practice Area
  • Additional hierarchy levels

This structure helps standardise skill management and makes it easier to locate, maintain, and assign skills.

Filter Skills Using the Hierarchy Panel

The hierarchy panel on the left side of the page allows you to navigate and filter repository skills.
 
You can:
  • Expand and collapse hierarchy levels.
  • View Domains, Categories, Subcategories, Practice Areas, and other configured hierarchy levels.
  • Filter skills based on selected hierarchy levels.

  • Identify uncategorised skills.

 
Selecting any hierarchy level automatically filters the skills displayed in the repository.

View Skills Without Levels

The Skills Without Levels section displays skills that are not mapped to any hierarchy level.
 
Review this section regularly to:
  • Identify uncategorised skills.
  • Organise existing skills.

  • Maintain a clean repository structure.

Search Skills

Use the search bar to quickly locate repository skills.
You can search by:
  • Skill name
  • Partial skill name

  • Keywords

Understand the Skills List

The skills table displays repository skills and associated information.

Manage Skills

Edit a Skill

To update an existing skill:
  1. Locate the skill.

  2. Click the Edit icon.

  3. Update the skill information.

  4. Click Save Changes.

You can update:
  • Skill name
  • Skill description
  • Associated behaviours

Manage Behaviours

 
Behaviours can be added to a skill to define observable competencies or expectations associated with that skill.
 
To manage behaviours:
  1. Open the skill using the Edit option.
  2. Navigate to the Behaviours section.
  3. Add, edit, or delete behaviours.
  4. Choose whether each behaviour should be included in reviews.

  5. Save your changes.

Assign a Skill to Skill Families

A skill can be associated with one or more skill families.
 
To assign a skill family:
  1. Click the More Actions menu beside a skill.

  2. Select + Assign new skill family.

  3. Select the appropriate hierarchy path based on your repository structure. Depending on your configuration, this may include:
    • Domain
    • Category
    • Subcategory
    • Practice Area
    • Additional hierarchy levels
  4. Click Assign.

Add Multiple Skill Families

A single skill can belong to multiple skill families.

  1. Click +Add New Skill Family to create additional mappings.

Delete a Skill

To delete an individual skill:
  1. Open the More Actions menu.

  2. Click Delete.

  3. Confirm the action.

The skill is permanently removed from the repository.

Manage Skills in Bulk

Select Skills

Use the checkboxes beside skills to select one or more skills.
 
To select all skills currently displayed:
  1. Click Select All.
The selected skill count is displayed above the grid.

Delete Skills in Bulk

To remove multiple skills:
  1. Select the required skills.

  2. Click Delete Skills.

  3. Review the confirmation message.
  4. Click Confirm.
Important: Deleting a repository skill may affect employee skill assignments. Review existing usage before removing skills.

Manage Repository Hierarchy

Use Manage Skills Repository to configure the hierarchy structure used within the repository.
 
To access hierarchy settings:
  1. Navigate to Performance > Skills > Repository.

  2. Click Manage Skills Repository.

 
Configure Domains
 
Domains represent the highest level of the repository hierarchy.
 
Examples:
  • Engineering
  • Sales
  • Customer Success
  • Finance
Configure Categories
Categories can be created within a domain to organise skills into broader groups.
 
Configure Subcategories
Subcategories provide additional classification beneath categories.
 
Configure Practice Areas
Practice Areas represent specialised skill areas within a subcategory.
 
Configure Additional Hierarchy Levels
If your organisation uses a five-level hierarchy, you can configure additional hierarchy levels to further classify and organise skills.
 
Save Hierarchy Changes
After making updates to the hierarchy:
  1. Review the structure.

  2. Click Save.

 
The updated hierarchy becomes available throughout the Skills module.

Import Repository Data

The Import option supports bulk repository operations.
 
Click Import and select one of the following options:

Import Skills

Import repository skills in bulk.

Import Employee Skill Assignment

Import employee-to-skill assignments.
 

Import Skill Hierarchy

Import domains, categories, subcategories, practice areas, and other configured hierarchy levels.
 

Add a Skill

Administrators can create new repository skills directly from the Skills Repository.
 
To create a skill:
  1. Navigate to Performance > Skills > Repository.

  2. Click Add Skill.

  3. Enter the Skill Name.

  4. (Optional) Add a Description to provide additional context about the skill.

  5. Assign the skill to the appropriate hierarchy using the available skill family fields.

  6. Add behaviours if required.
To add multiple skills at once, click + Add Another Skill. There is no limit to the number of skills you can add.

  1. Click Save Skill.

 
The newly created skill becomes available in the repository and can be assigned to employees.
 
Note: A well-defined skill should include a meaningful name, appropriate hierarchy mapping, and relevant behaviours wherever applicable. This helps improve repository organization, employee skill assignments, and future reporting.

  • The Skills Repository supports structured skill hierarchies of up to five levels.
  • Skills that are not mapped to any hierarchy appear under Skills Without Levels.
