Pay groups help organize employees based on how they’re paid. You may need to move an employee if they change legal entities, departments, or business units.
How to view and change an employee’s pay group?
Navigation path:
1. Payroll → Payroll Admin → Operations tab
2. Click on Employee Pay Group Details
Use filters or the search bar to locate the employee.
Click Update in the Actions column.
What happens when I update the pay group?
All future salary revisions will be deleted and must be reconfigured.
Any Professional Tax, ESI, or TDS overrides set for future months will be removed.
Steps to complete the pay group change:
New Pay Group:
Select the new group → Choose Effective Date → Click ContinueRequest Amounts:
Review pending loans or claims → Approve/Reject → Click ContinueDue Adjustments:
Handle LOP Arrears → Choose to pay via payroll or mark as paid → Click ContinueNew Salary Structure:
Select Range-Based (auto-assigned via CTC) or
Choose a Custom Salary Structure from the new group
Enter New CTC (amount or percentage)
Optionally, click Add Bonus to define bonus details
Summary:
Review changes → Click Update Pay Group
After the update:
Two Form 16s will be generated if the legal entity changes.
The employee will not appear in Form 24Q of either pay group for the relevant period.
