Implicit roles in Keka are automatically assigned based on an employee’s position within the organization—such as a reporting manager, department head, or business head. These roles come with specific privileges that allow individuals to take action on behalf of their teams or departments.
For example:
Reporting Managers can review performance, approve leaves, and manage tasks for their direct reports.
Department Heads may have access to budget approvals or departmental insights.
Managing what each implicit role can and cannot do is critical for maintaining security while enabling effective decision-making. In Keka, Global Admins have full control over these permissions.
How to Manage Permissions for Implicit Roles?
To manage permissions:
Go to Global Settings > Roles & Permissions
Navigate to the Implicit Roles tab
You’ll see a matrix-style layout:
Left side lists all available privileges (e.g., view documents, approve expenses).
Top row shows implicit roles by designation (e.g., Manager, Department Head).
Interface Controls
Click Expand All to view the complete list of privileges.
Click Edit Permissions to enable or disable access for each role.
Editing Permissions
When you click Edit Permissions, you'll be taken to a screen where you can:
View a list of privileges alongside employee designations
Use checkboxes to enable or disable access for each role
To modify access:
Check a box to grant the privilege
Uncheck it to remove the privilege
Once you're done, click Save Permissions to apply the changes.
This gives Global Admins full flexibility to tailor access levels based on responsibilities—without compromising data security.
