In Keka, the Preboarding module helps manage candidates selected to join the organization. The transition from Preboarding to Onboarding involves structured steps and tasks that ensure a smooth process for new hires.
1. Preboarding Overview
The Preboarding stage includes a list of all candidates who have been selected but are not yet officially added as employees. Candidates are categorized into different phases:

Before Offer Release: Candidates in the hiring pipeline before receiving an offer.

After Offer Release: Candidates who have received the offer but haven't accepted it yet.

After Offer Acceptance: Candidates who have accepted the offer and are preparing for joining.

Before Joining: Candidates who are in the final stage before their joining date.
Once a candidate is marked as hired, they move from Preboarding to New Joiners and then progress to Onboarding.
2. Workflow of Moving a Candidate from Preboarding to Onboarding
Step 1: Offer Release & Candidate Acceptance
Navigate to Org >> Onboarding>> Preboarding. Locate the candidate and verify their hiring status. Release the offer letter and track the candidate’s acceptance. Once the candidate accepts the offer, they are automatically marked as Hired. Candidates who are marked as hired but not yet added as employees will move to the New Joiners section. HR can review and confirm details before progressing to onboarding.
Step 2: Onboarding Initiation
Go to Org >> Onboarding>> New Joiners. Select the candidate and initiate the onboarding process. Assign an Onboarding Template based on the role or department. Once onboarding is initiated, a list of onboarding tasks is assigned to the candidate, such as:

Document Submission (PAN, Aadhaar, ID Proofs, Educational Certificates, etc.)

Company Policy Acknowledgment

IT Setup & Asset Allocation

Employee Handbook Review

Step 3: Completing the Onboarding Process
New Hires submit required documents and complete assigned tasks. HR reviews and verifies submitted details. The candidate is officially added to the Employee Database. Once onboarding is complete, the candidate transitions to Active Employee Status in Keka.
