Cancelled interviews or expired scheduling links can disrupt the recruitment process, leading to confusion for both candidates and recruiters.
Keka addresses these scenarios with clarity and professionalism, ensuring smooth communication and effective management.
Here’s what happens when an interview is cancelled by the recruiter or when the scheduling link expires.
Steps When an Interview is Cancelled by the Recruiter
1. Automatic Candidate Notification
The candidate receives an immediate email notification about the cancellation. If the recruiter provides a reason, it is included in the message for transparency.
2. Profile Update
The cancelled interview is logged on the candidate’s profile, including details of who cancelled it and why. This ensures a clear record for future reference.
3. Scorecard Retention
Any evaluations or feedback collected prior to the cancellation are preserved in the scorecard. This ensures no data is lost, allowing recruiters to refer to previous assessments if needed.
4. Option to Reschedule
If the recruiter chooses to move forward with the candidate for another round, they can either send a new self-schedule link or manually schedule the interview.
Important Notes:
- Recruiters cannot issue a new self-schedule link while the current one is still active.
- Once the existing link expires, they can generate and send a fresh invitation to the candidate.
Steps to Resend a Self-Schedule Link:
- Navigate to the candidate’s profile.
- Select the “Schedule” option, then click on “Self-Schedule.”
- Update panel members, meeting platforms, or timeframes as needed.
- Resend the invitation to the candidate.
When a Scheduling Link Expires
1. Notifications
- To the Candidate: An email is sent notifying the candidate that the scheduling link has expired, preventing them from attempting to use it further.
- To the Recruiter: The recruiter is informed, prompting them to take the necessary action.
2. Extending Link Validity
Recruiters have the option to extend the validity of the expired link directly from the candidate's profile. By selecting the "Extend Time" option, recruiters can provide candidates with additional time to schedule their interviews without the need to generate a new link.
3. Profile Update
The candidate’s profile will show that the scheduling link has expired. If a candidate tries to use the link after the expiration date, they will see a message notifying them that the link is no longer valid.
With Keka, disruptions caused by cancellations or expired links are minimized, ensuring a streamlined recruitment process and better communication for all stakeholders.
