Navigating the Resource Planner in Keka PSA

The resource planner is a vital tool for resource managers within Keka PSA, offering a comprehensive overview of resource availability and allocation. By effectively utilizing this feature, you can optimize resource management and ensure successful project execution.

 

Understanding the Resource Planner Interface

To access the resource planner, navigate to the "Projects" section and select the "Resources" option. The resource planner interface provides a clear overview of resource availability across different departments.

 

 

For instance, if you want to identify the number of resources in the Customer Support (CS) team with 50% or more availability to prioritize their allocation to projects, simply select "CS" from the Department filter and choose ">=50%" in the Availability % filter.

This process allows you to evaluate whether you have sufficient in-house resources for your upcoming projects within the desired timeframe. Consequently, you can make informed decisions on whether to hire additional resources or reallocate existing ones to accommodate your project needs.

 

Filtering Resources

Utilize the filters at the top of the page to refine your resource search based on department, availability percentage, project, and other relevant criteria. This allows you to quickly identify suitable resources for your projects.

 

 

Allocating Resources to Projects

Once you've identified the desired resources, allocate them to projects using the "Allocate Project" button. Provide necessary details such as duration, allocation percentage, billing role, and billing rate.

 

 

You have the flexibility to switch between viewing allocations for the entire month or focusing on a specific week, allowing for more precise management of your resources. 

Utilize the filters at the top of the page to refine your list and easily find the resources you need. Keka PSA provides filtering options based on Department, Job Title, Projects they are currently assigned to, and their Availability %.

Once you have identified the resource or group of resources you wish to allocate, the process is straightforward. For example, if you want to assign employees from the Customer Support (CS) team who have more than 50% availability to a project, simply apply the relevant filters to narrow down your selection. After filtering, select the desired employees and click on the "Allocate Project" button.

 

 

In the Bulk Allocate Project window, choose the project to which you wish to assign the selected resources. You will also need to provide additional information, including the Duration of their allocation, the Allocation Percentage, as well as the Billing Role and Billing Rate associated with each resource.

Once you've filled in these details, click on the "Allocate Project" button to successfully assign these resources to the chosen project.

 

 

Viewing Resource Allocations

The resource planner displays a clear overview of resource allocations, including start and end dates, allocation percentages, and associated projects. You can easily switch between different timeframes to view allocations for specific periods.
