Using Payroll Reports on Keka

Introduction

Reports allow you to uncover various insights into your payroll system and how it works. Keka has a set of payroll reports that you can generate and download as per your requirements. You can deep dive into any aspect and see what the key payroll trends are. 


In Keka, payroll reports are divided into 2 categories 

  1. Payroll, Contribution, and Tax
  2. Compliance Reports

Let us take a look at how you can access these reports and generate insights as per your requirements.

 

How to access reports?

Privileged users can access the reports section by navigating to Payroll (1) from the left navigation pane. In the payroll section, we have Reported (2) click on it. 

 

 

How to Download Reports?

In Keka downloading the reports from the reports section is as easy as a few clicks. Just select the report you wish to generate and download and you will be navigated to the report page. 

 

On this page, you need to set the necessary filters to download the report. These filters may include details of Pay Group, Remuneration Type, Currency, Employment Type, Job Title, Department, Location, Cost Center, and Business Unit or any other filters On providing the mandatory details, the option of Run will be enabled, click on it to download the report. You can also reset this criteria by clicking on Reset.

 

Note: The criteria required for the download might vary for each report based on its type.

 

 

Different Payroll Reports on Keka

 

Payroll, Contribution, and Tax Reports

In this section, organizations can readily access a wide range of financial reports related to payroll, income tax, contributions, loans, year-to-date summaries, and full and final settlements. These reports are conveniently categorized by their respective types and are easily downloadable. This acts as a vital tool for organizations to properly understand their financial insights.

 

Payroll Reports

The payroll reports section contains all the essential reports concerning employee compensation. These reports cover various aspects of salaries, including current salary structures, bonuses, bonus status, perk details, annual total compensation, financial information related to salaries, and salary revision records.

 

Payroll Run Reports

Payroll run reports are essential information related to payroll processing. These reports include details such as comparing payroll components for each employee, pay registers, monthly and annual cost breakdowns, earned bonus reports, arrears reports, contribution/deduction reconciliations, group-wise summaries, payroll journal vouchers, one-time deductions and payments, overtime reports, and shift allowances. These reports can help you in analyzing the information related to payroll that has been run through Keka.

 

Component Claim Reports

These reports are connected to the claims for expenses that fall under reimbursements. They provide detailed reports about component claims, their status (whether they've been paid or are still pending), and the accumulated amounts. You can download these reports individually for each component.

 

YTD Reports

YTD reports, which stands for Year-To-Date reports, offer data for a specific month range, from the first day of the current calendar year up to the present date. This section includes various reports, such as total salaries for all employees, overall gross earnings, total TDS (Tax Deducted at Source), total PF (Provident Fund) contributions for all employees, and month-on-month reports for all employees. These reports can be useful for the organization to view and understand their financials to date or for a specific range of data.

 

Income Tax Reports

This section allows you to access and download various income tax-related reports, including annual income tax reports, detailed annual income tax reports, HRA reports, detailed investment declarations, a summary of investment declarations, breakdown of investment declarations, proof submission reports, monthly income tax statements, rent payments and landlord details, lender details, previous employment reports, TDS overrides, and Tax Surge reports. This section is entirely about income tax reports and you can download all the related information from this section.

 

PF Statutory Forms

In this section, you have access to conveniently generate essential documents like Form 6A, Form 10, Form 5, Form 12A, and Form 3A. Furthermore, you can download comprehensive PF reports covering PF remittance details, monthly ECR (Electronic Challan cum Return), administrative charges, arrears, and summary reports related to PF.

 

ESI Statutory Forms

This section houses reports associated with Employee State Insurance (ESI). These reports consist of ESI monthly statements, ESI overrides, and ESI summary reports. Furthermore, you can use this section to generate ESI monthly returns and Form 5 as needed.

 

Professional Tax Reports

You can find Professional Tax (PT) reports in this section, including monthly PT statements, state-wise PT reports, and PT overrides reports.

 

LWF Statutory Forms

You can download the LWF contribution form for the selected range of dates using this section.

 

Loan Reports

These reports are related to loans provided to employees by the organization. In this section, you can download reports of loan requests, monthly loan EMI, loan status, and outstanding loan balances.

 

Full and Final Settlement Reports

The reports of F&F settlements based on a range of dates can be downloaded using this option.

 

Compliance Reports

Running payroll isn't just about numbers; it also involves adhering to various labor laws and regulations. The Compliance Reports section offers detailed information on statutory compliance, labor acts, and state-specific regulations, ensuring that your payroll aligns with government rules.


Keka provides an option of keeping a record of these essential forms of data using the compliance reports tab. These reports are categorized based on the rules applicable at various states and central levels. This section also contains the forms that are essential for The Contract Labour(Regulations & Abolitions) Act of 1970. All these essential forms can be downloaded from the compliance reports section when required.

The reports section of the payroll tab is essential for any organization to have a detailed view of their financial insights. These reports can help you to keep track of all the expenditures that an organization has made in various categories.
